Job summary

Goodmans LLP in Toronto is seeking a Legal Assistant for a 12-month contract in the Real Estate Section. You will provide administrative and practice management support, coordinating documents, transactions, and communications with legal professionals and clients.

The role requires strong organization, attention to detail, and professional interaction with firm members. Experience with Teraview and land registry searches is a plus.

Qualifications

  • Post-secondary education with a focus on legal administration or equivalent.
  • 2+ years of experience within a legal professional services environment.
  • Real estate experience and knowledge of real estate transactions.
  • Experience with trust statements, pre-closing fund summaries, and requisitions for cheques and wire transfers is considered an asset.
  • Experience with Teraview and land registry searches is considered an asset.
  • Excellent knowledge of MS Office Suite including Outlook and Word.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to organize, multi-task, and prioritize appropriately.
  • Demonstrates initiative and self-directed work ethic.

Responsibilities

  • Prepare, edit, format, and manage legal documents and correspondence.
  • Manage file openings and conflict checks.
  • Proofread documents and prepare comparisons as needed.
  • Prepare requisitions for trust and general funds and coordinate wire transfers.
  • Assist with Teraview searches and land registry abstracts.
  • Prepare draft correspondence and review markup for review.
  • Manage calendars and coordinate meetings with materials and AV needs.
  • Enter dockets, prepare cheque requisitions, and process related transactions.
  • Assist monthly billing and coordinate with other Legal Assistants for support.

We are currently seeking a Legal Assistant to join our Real Estate Section for a 12-month contracted position. The primary purpose of this position is to provide administrative and practice management support to legal professionals within the group. This role requires a highly organized individual with strong communication skills, attention to detail, and professionalism when interacting with legal professionals, firm members, and clients.

Key Responsibilities:
  • Preparing, editing, formatting, and managing legal documents, including agreements, correspondence, memoranda, presentations, and other practice specific documents
  • Managing file opening and conflict searches
  • Proofreading documents against originals and preparing blackline/comparisons as required
  • Preparing and processing trust and general requisitions for transactions and wire transfers in accordance with firm procedures, including coordinating approvals, preparing supporting documentation and communicating with relevant individuals to ensure timely completion of transactions
  • Assisting with Teraview searches and retrieving land registry abstracts, PINs and instruments as required
  • Preparing draft correspondence, letters, indexes and other legal documents based on legal professional instructions and markups for review
  • Managing calendars, keeping legal professionals informed of ongoing and outstanding matters
  • Coordinating meetings, including preparing all necessary materials, booking boardrooms, arranging for catering, audio visual equipment, and other meeting requirements
  • Entering dockets, preparing cheque requisitions, wire transfers and trust documentation (as applicable), and processing related transactions as appropriate
  • Assisting with the monthly billing process
  • Coordinating work with other Legal Assistants and support services to ensure timely completion of tasks and appropriate support is provided to the legal practices being serviced
  • Prepare clearance letters and obtain verbal responses from utility departments
  • Providing back-up assistance to Assistants within the section during absences as needed
  • Other duties as assigned

Requirements:

  • Post-secondary education with a focus on legal administration or equivalent
  • 2+ years of relevant experience within a legal professional services environment
  • Previous real estate experience and knowledge of real estate transactions
  • Experience with trust statements, pre-closing fund summaries, and completing requisitions for cheques and understanding of web-wire transfers is considered an asset.
  • Experience with Teraview and land registry searches is considered an asset
  • Excellent knowledge of MS Office Suite including Outlook and Word
  • Knowledge of document management practices
  • Strong written, verbal, and interpersonal communication skills
  • Ability to organize, multi-task, and prioritize appropriately
  • Demonstrates excellent client service and ability to anticipate client needs
  • Strong problem-solving skills, flexibility, and possess the ability to work effectively with others
  • Strong work ethic, demonstrates initiative, self-directed, and holds an advanced capability for task completion with minimal supervision
