Job summary

Cassels Brock & Blackwell LLP in Toronto is seeking a Resource Assistant to support the Real Estate Department. The role requires organized, proactive professionals who handle administrative tasks, calendar management, and file maintenance.

You will draft correspondence, coordinate deadlines, manage invoices, and assist with onboarding and client communications. This in-office position offers a competitive salary and benefits.

Qualifications

  • Post-secondary education in legal administration or equivalent.
  • Minimum 1 year of administrative support experience, preferably in commercial real estate.
  • Advanced MS Office skills (Outlook, Word, Excel, PowerPoint).
  • Working knowledge of Teraview and Closing Folders.
  • Strong organizational skills with high attention to detail.
  • Ability to work under pressure in a fast-paced environment.
  • Strong work ethic with initiative and judgment.
  • Excellent interpersonal and communication skills.
  • Ability to work independently and as part of a team.
  • Willingness to learn new firm software and processes.

Responsibilities

  • Preparing legal documents from written and oral instructions and precedents.
  • Drafting routine correspondence on behalf of lawyers.
  • Applying proofreading and editing skills to documents and correspondence.
  • Liaising with clients, lawyers, and colleagues to obtain information and instructions.
  • Assisting lawyers’ practice, i.e., file opening, calendar management, track deadlines, meeting arrangements.
  • Preparing expense reports, trust receipts and third-party invoices.
  • Completing closing reports.
  • Document scanning, printing, photocopying, binding, tabbing.
  • Maintaining files (electronic and physical), including creating folders and saving documents in iManage, file folder labeling, file closings.
  • Drafting cover/service letters and coordinating deliveries.
  • Entering dockets into Intapp Time
  • Maintaining accurate updates in the workflow system to track and monitor requests.
  • Other duties and responsibilities as assigned.

Role Overview:

Our Toronto office is currently recruiting for a Resource Assistant to support the Real Estate Department. The Resource Assistant plays a key role in our firm by providing diverse administrative, backup coverage during absences, and overflow support to our team of Lawyers and Legal Assistants. The ideal candidate will be an organized and eager professional who takes initiative and ownership of their work, values attention to detail, and has exceptional communication skills.

The successful candidate must have the following education, experience and/or demonstrated skills:
  • Post-secondary education in legal administration or equivalent.
  • Minimum of 1 year of experience providing administrative support required, particularly in commercial real estate.
  • Proficient in MS Office with advanced computer skills in Outlook, Microsoft Word, Excel, and PowerPoint.
  • Working knowledge of Teraview and Closing Folders.
  • Strong administrative and organizational skills with high attention to detail.
  • Ability to work under pressure and adapt to changing priorities in a fast-paced environment.
  • Strong work ethic and ability to exercise initiative and judgment.
  • Excellent interpersonal skills and communication skills.
  • Ability to work with minimal supervision, as well as part of a collegial and outgoing team.
  • Willingness to learn new firm software, embrace innovation and process improvement.
Employment Type:

Permanent, Full-Time

This is a full-time in-office position working Monday to Friday

Salary Range: $51,000 - $61,000 annually (commensurate with skills and experience)
