Qualifications

Position Details:

  • Hours of Work: 8:30 a.m. – 5:00 p.m.
  • Office Location: 8.6 Downtown Toronto (Great location! Steps away from the main public transit station)

The Opportunity

This Legal Assistant will support a small team of experienced lawyers and law clerks working on a broad range of legal matters in a fast-paced environment. Responsibilities include:

  • Assisting with preparation, revision, and proofreading of correspondence and legal documents.
  • Profiling and saving correspondence and documents into a document management system.
  • Implementing version controls, tracking changes, and comparing versions.
  • Setting up and organizing files; maintaining legal department records.
  • Tracking and managing calendar items, deadlines, and milestones.
  • Scheduling and organizing meetings.
  • Processing payment of invoices and accounts.
  • Providing administrative and clerical support to lawyers and law clerks.
  • Adhering to policies/procedures to meet AML requirements, when applicable.
Experience and Requirements:
  • Strong verbal and written communication skills, with excellent spelling, grammar, and punctuation.
  • Self-motivated with a positive attitude and interest in continuous learning.
  • Professional manner, good judgment, and discretion.
  • Excellent organizational skills, attention to detail, and ability to meet deadlines.
  • Ability to prioritize multiple tasks and work with various providers.
  • Problem-solving skills and quick learner.
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and PDF manipulation.
  • Experience with OpenText eDocs, Diligent, and Thomson Reuters Legal Tracker is an asset.
  • Post-secondary education and/or 3-5 years of legal experience, preferably in a law firm or legal department.
Working Environment and Physical Demands:
  • High-volume periods with tight deadlines.
  • Sitting for extended periods.
  • Repetitive movements (keyboard and mouse).
  • Extended computer screen time.
  • Multi-tasking, including phone conversations while working on a computer.
