SUMMARY

The Leasing Coordinator will provide administrative support to the Manager - Leasing & Tenant Relations in lease documentation preparation, tracking, recording, receipt and distribution of mails and correspondences, lease documentation scanning, and file maintenance. When required, the Leasing Coordinator abstracts lease documentation and responds to simple lease interpretation requests or forwards such requests to relevant lease administration team members.

KEY DUTIES & RESPONSIBILITIES
  1. Act as point of contact with Property Managers, clients, tenants, and leasing inquiries for new leasing, amendments, lease renewals, terminations, and assignments with supporting information.
  2. Coordinate the production of reports including third-party leasing plans, tenant correspondence logs, and monthly transaction activity reports; distribute reports to stakeholders. Prepare ad hoc reports as needed.
  3. Assist the Leasing/Tenant Relations Manager in preparing listing agreements and marketing packages for surplus space and other properties.
  4. Coordinate and monitor third-party KPIs (3rd party lease index).
  5. Process temporary occupancy requests.
  6. Manage all transaction and lease files to ensure accuracy, completeness, and security.
  7. Prepare lease documentation based on client templates and accepted business terms.
  8. Assist the Leasing Director and Leasing/Tenant Relations Manager to ensure service delivery meets or exceeds contractual and internal standards.
  9. Meet with tenants as required.
  10. Manage and maintain the integrity of the RealLease database.
KNOWLEDGE & SKILLS
  1. College diploma focusing on Real Estate Management and Administration.
  2. More than 3 years of commercial leasing experience, preferably with a commercial real estate brokerage firm or in a corporate real estate environment.
  3. Administrative and organizational skills.
  4. Proficiency in spreadsheet, database, and word processing applications.
  5. Familiarity with commercial leases.
  6. Strong customer focus and commitment to customer satisfaction.
  7. Strong team player.
  8. Bilingual in French and English, both written and spoken.
