Job summary

The ideal candidate will possess a College Diploma in Real Estate Management and over three years of commercial leasing experience, demonstrating strong administrative skills and a customer-focused approach.

Qualifications

  • Bilingual in French and English, both written and spoken.
  • Experience with commercial leases preferred.

SUMMARY

The Leasing Coordinator will provide administrative support to the Manager - Leasing & Tenant Relations in lease documentation preparation, tracking, recording, mail and correspondence management, scanning, and file maintenance. When required, the Leasing Coordinator abstracts lease documentation and responds to simple lease interpretation requests or forwards such requests to relevant lease administration team members.

KEY DUTIES & RESPONSIBILITIES

  • Act as point of contact with Property Managers, clients, tenants, and leasing inquiries for new leasing, amendments, renewals, terminations, and assignments, with copies of supporting information.
  • Coordinate the production of reports including third-party leasing plans, tenant correspondence logs, and monthly transaction activity reports; distribute reports to internal and external stakeholders. Prepare ad hoc reports as required.
  • Assist the Leasing/Tenant Relations Manager in preparing listing agreements and marketing packages for surplus space and other properties.
  • Coordinate and monitor third-party KPIs (lease index).
  • Process temporary occupancy requests.
  • Manage all transaction and lease files to ensure accuracy, completeness, and security.
  • Prepare lease documentation based on client templates and accepted business terms.
  • Assist the Leasing Director and Leasing/Tenant Relations Manager to ensure service delivery meets contractual requirements and complies with BGIS policies and procedures.
  • Meet with tenants as needed.
  • Manage and maintain the integrity of the RealLease database.

KNOWLEDGE & SKILLS

  • College Diploma in Real Estate Management and Administration.
  • More than 3 years of commercial leasing experience, preferably with a commercial real estate brokerage or corporate real estate environment.
  • Strong administrative and organizational skills.
  • Attention to detail.
  • Proficiency in spreadsheet, database, and word processing applications.
  • Familiarity with commercial leases.
  • Strong customer focus and commitment to customer satisfaction.
  • Team player.
  • Excellent time management skills.
  • Bilingual in French and English, both written and spoken.
