Job summary

The Calgary Police Service seeks an Information Management Analyst to support and enhance records management practices aligned with governance standards. You will identify opportunities for improvements, evaluate rules and solutions, and help implement new processes, tools and services for CPS records management.

Responsibilities include conducting audits of repositories, guiding retention and storage decisions, coordinating annual inventories and developing training materials.

Qualifications

  • Diploma in Records, Information Management or related field.
  • Minimum 5 years of records or information management experience.
  • Experience with OpenText Content Management is an asset.
  • Knowledge of records management principles, standards and best practices is an asset.

  • Provide corporate guidance on records functions and compliance with policies, security classification and retention schedules.

  • Develop and deliver training materials and workshops for CPS members involved in records management.
  • Research emerging technologies and trends affecting CPS records and information management programs.

As the Information Management (IM) Analyst, you are the key contributor and the subject matter expert (SME) supporting the successful establishment and ongoing enhancement of records and information management practices aligned with the information management governance standards at the Calgary Police Service (CPS). You are responsible for identifying opportunities for records and information management improvements, evaluate business rules and solutions, and facilitate the implementation of new or enhanced processes, tools, and services that support the delivery of the CPS' mission. Specific duties include:

  • Conduct appraisals, analyses, audits, and reviews of electronic and physical information repositories, including OpenText Content Management libraries, network drives, physical file rooms, and other electronic libraries.
  • Provide corporate guidance to all CPS business areas on records functions, ensuring compliance with records management policies, information security classification, and retention schedules.
  • Provide expertise in electronic and physical records management, ensuring compliance with municipal, provincial, and federal legislative requirements, and advise on file structure, storage, retention, and appropriate information handling.
  • Coordinate and assist all CPS with the annual inventory of records across a variety of formats and repositories; determination of record classification and retention; movement of inactive records to appropriate storage locations; and preparation and approval of disposition requests of expired records.
  • Develop and deliver records and information management training materials, courses, and workshops for CPS members that are involved in creating and managing information.
  • Research emerging technologies and trends that may impact the CPS records and information management programs.
Qualifications
  • A diploma in Records, Information Management, or a related field and a minimum of 5 years of records or information management experience.
  • Previous experience with OpenText Content Management platform is an asset.
  • Demonstrated knowledge of records and information management principles, standards, and best practices across both physical and electronic environments is also considered an asset.

  • An enhanced security clearance will be conducted.

Position and Pay Information

Business Unit: Calgary Police Services

Union: CUPE Local 38

Position Type: 1 Permanent & 1 Temporary (up to 10 months)

Compensation: Pay Grade 9 $41.49 - 55.51 per hour

Hours of work: Standard 35 hour work week.

Days of work: This position works a 5 day work week with 1 day off in a 3 week cycle.
