Job summary

Bartle & Gibson Co. is seeking a highly organized HVAC Operations Support Coordinator to back our HVAC operations and sales teams across Alberta, BC, Saskatchewan, and the North West Territories.

You will manage customer quotations, obtain supplier pricing, and coordinate information between branches to accelerate quote turnaround and improve service. In this role you will track quotes, maintain records, handle customer inquiries, and support warranty administration and documentation while

Qualifications

• Experience in HVAC, mechanical services, construction, facilities management, or related industry
• Experience preparing quotations, estimates, or customer proposals
• Experience working with ERP/CRM or service management systems is an asset

Responsibilities

• Prepare and manage customer quotations and proposals
• Obtain supplier pricing and product information
• Ensure quote accuracy, completeness, and timely delivery
• Track quote status and maintain quote records
• Coordinate quote follow-up activities with Sales personnel
• Respond to customer inquiries professionally and promptly
• Provide customers with updates on quotes, orders, and requests
• Maintain consistent communication throughout the customer journey
• Support warranty administration and documentation
• Coordinate information between branches, suppliers, and internal teams
• Manage workload priorities and deadlines effectively
• Assist with reporting and performance tracking
