Job summary

PharmaLogic is seeking an HR Specialist to support day-to-day HR programs across the organization in a hybrid role based in Dorval, QC. You will manage recruitment, onboarding, employee relations, performance management, benefits administration, and HR compliance.

This role requires coordinating full-cycle recruitment, onboarding, HR guidance, and maintaining accurate HR records while ensuring confidentiality.

Qualifications

  • Bachelor’s degree in HR, Business Administration, or related field.
  • Minimum of three (3) years of progressive HR experience in an HR Specialist/HR Generalist role.
  • Experience with Quebec and Ontario employment legislation.
  • Experience supporting core HR functions: recruitment, onboarding, employee relations, performance management, HR administration.
  • Strong communication, interpersonal, organizational, and problem-solving skills.
  • Ability to work independently, manage multiple priorities, and handle confidential matters.
  • Proficiency with Microsoft Office, HRIS systems, recruitment platforms, and AI-enabled tools.
  • French and English proficiency to communicate with employees at all locations.

Responsibilities

  • Coordinate full-cycle recruitment for assigned positions, including postings, screening, interviews, references, and coordination with hiring managers.
  • Onboard new employees, including orientation, documentation, HRIS entries, and integration.
  • Provide guidance on HR policies, programs, and processes to employees and managers.
  • Support employee relations issues, including concerns, conflicts, attendance, performance, and organizational changes.
  • Assist with performance management activities, including reviews and development plans.
  • Maintain accurate employee records and HR documentation per policy and legal requirements.
  • Administer benefits processes and respond to routine inquiries.
  • Support annual compensation reviews and related documentation.
  • Contribute to development and administration of HR policies, procedures, and programs.
  • Maintain knowledge of employment legislation and HR best practices (CNESST, WSIB).
  • Prepare HR reports, communications, and employment verification letters.
  • Contribute to HR initiatives focused on engagement and process improvements.
  • Maintain confidentiality and sound judgment in handling information.
  • Perform other duties as assigned.

Job description

The Human Resources Specialist plays an important role in supporting the day-to-date delivery of Human Resources programs, processes, and initiatives across the organization. This position supports a broad range of HR activities, including recruitment, onboarding, employee relations, performance management, benefits administration, employee records, policy administration, and HR compliance.

Serving as a key resource for employees and managers, the HR Specialist provides guidance on HR policies, programs, and processes, helps ensure consistent HR practices, and supports the resolution of routine employee-related matters. The position works independently on assigned responsibilities while partnering with HR leadership on more complex or sensitive employee relations and organizational matters.

This is a hybrid position requiring regular onsite presence at the Dorval office approximately 3 days per week.

Key Duties & Responsibilities
  • Coordinate full-cycle recruitment for assigned positions, including job postings, resume screening, interview coordination, reference checks, candidate communication, and partnership with hiring managers.
  • Coordinate the onboarding process for new employees, including orientation, required documentation, HRIS activities, and employee integration.
  • Serve as a key HR resource for employees and managers by providing guidance on HR policies, procedures, benefits, payroll-related questions, and general HR matters.
  • Support employee relations matters, including workplace concerns, conflict resolution, attendance, performance concerns, organizational changes, and other employee-related issues, escalating complex or sensitive matters to HR leadership as appropriate.
  • Coordinate and support performance management activities, including performance reviews, performance improvement documentation, employee development plans, and related follow-up.
  • Maintain accurate employee records and HR documentation in accordance with company policies, established practices, and applicable legal requirements.
  • Administer employee benefit processes, including enrollments, employee changes, communications, and routine employee inquiries.
  • Support annual compensation review activities, including preparation and review of employee information and related documentation.
  • Support the development, implementation, and ongoing administration of HR policies, procedures, and programs.
  • Maintain knowledge of applicable employment legislation and HR best practices and support compliance with applicable requirements, including CNESST and WSIB.
  • Prepare HR reports, employee communications, employment verification letters, and other HR documentation as required.
  • Contribute to HR initiatives and projects focused on employee engagement, organizational programs, and continuous improvement of HR processes and the employee experience.
  • Maintain a high level of confidentiality, professionalism, and sound judgment when handling employee and organizational information.
  • Perform other duties as assigned.
Experience & Competencies Required
  • Bachelor’s degree in human resources, Business Administration, or a related field.
  • Minimum of three (3) years of progressive Human Resources experience in an HR Specialist, HR Generalist, or similar role.
  • Working knowledge of applicable employment legislation and HR practices in Quebec and Ontario.
  • Experience supporting core HR functions, including recruitment, onboarding, employee relations, performance management, and HR administration.
  • Strong communication, interpersonal, organizational, and problem-solving skills.
  • Ability to work independently, manage multiple priorities, and exercise sound judgment when handling confidential matters.
  • Proficiency with Microsoft Office, HRIS systems, recruitment platforms, and AI-enabled tools to support efficiency, research, communication, and HR processes.
  • French and English required to be able to communicate with our employees who work at our locations in and outside of Quebec
