Job description

The Mustard Seed Society is seeking a dynamic and dedicated Human Resources Generalist to join our team in Saskatoon! This role plays a key part in supporting a wide range of HR functions. The ideal candidate will bring strong interpersonal skills, sound judgment, and the ability to manage sensitive information with the highest level of professionalism and confidentiality. Reporting to the Human Resources Director or designate, the Human Resources Generalist will provide support in a wide variety of human resources matters with a concentration on HR employee relations, recruitment, leader and employee training, onboarding, disability and leaves, performance management and administration. This role requires an individual with great people skills, critical thinking, and can handle sensitive information in the utmost professional manner.

DUTIES AND RESPONSIBILITIES:

Recruitment

  • Manage and provide recruitment support including:
  • Screening candidates (if requested)
  • Coach leaders on effective recruitment practices, as per the organization’s procedures
  • Participate in interviews, along with department leaders
  • Conduct reference checks as required, in conjunction with HR Coordinators
  • Book interviews and create interview packages as required
  • Support the practicum student and summer internship programs, as required

Employee Relations and Performance Management

  • Coach leaders on how to navigate employee relations matters, including performance management, improvement plans, and progressive discipline.
  • Participate in communication and roll out of performance management plans. Train staff and be available to answer questions.

Training

  • Ensure all staff are adequately trained according to organizational and contractual requirements
  • Participate and lead applicable training sessions for employees and leaders
  • Coordinate and facilitate New Hire Orientation and onboarding materials
  • Provide coverage and back-up support to the Coordinator team with managing the HR and Training inboxes
  • Assist with the annual Training Audit

Disability and Leave Management

  • Enter WCB employer reports online for submission, ensure data entered is accurate, and submitted in a timely manner
  • Assist employees with navigating all aspects of their leave (WCB, STD, LTD, parental, etc.) and facilitate return to work plans.

Administration

  • Prepare or draft HR-related communication and submit documents for approval to the HR Director
  • Create and send Offers of Employment, Transfers, Status Change Updates and other related process documentation, as requested.
  • Support the Payroll and Benefit Analyst in administrative work, including following up with unapproved timesheets. Educate leaders and employees on how to use the HRIS platform.
  • Receive employee documentation, enter, and update employee records in UKG, coordinate and manage soft copy record keeping, archiving employee files and human resource materials
  • Ensure accurate data for tracking work permit eligibility and probationary periods
  • Provide administrative support to the HR team, as required
  • Assist with new HR projects and initiatives when requested
  • Required to abide by all Health & Safety protocols including completing a report for all incidents that occur, including near misses, in a timely manner.
  • Other duties as may be assigned

MINIMUM QUALIFICATIONS AND SKILLS

  • Post-Secondary education in Human Resources Management or equivalent combination of experience, education, and training
  • Background in payroll and benefit administration an asset
  • 4+ years’ previous human resources experience in a fast-paced environment
  • Strong working knowledge of Microsoft Office Programs (i.e., Word, Outlook, Excel, etc.) and human resources information systems; SharePoint knowledge an asset
  • Meticulous attention to detail, ability to prioritize and strong time management skills
  • Ability to work in a team environment and interact effectively with staff at all levels
  • Proven critical thinking and problem-solving skills
  • Excellent customer service skills with strong skills in maintaining appropriate boundaries
  • Integrity, discretion and judgment with tact and diplomacy on confidential matters
  • Excellent verbal and written communication skills with an understanding of confidentiality and protocol is essential
  • Strong organizational skills with effective multi-tasking skills

WORKING CONDITIONS

  • Office based role, sitting for extending period. Also standing and walking are required as part of this role.
