Job summary

BC Pension Corporation is seeking an HR Coordinator in Victoria, BC to support recruitment, onboarding and payroll processes. You will manage candidate records, coordinate interviews, and ensure data accuracy across Oracle Fusion, SharePoint and MS Teams.

The role emphasizes compliance with policies and data privacy, with a hybrid on-site/off-site schedule. You will engage with our Talent Acquisition team to deliver timely HR services, support system testing, and contribute to continuous process

Qualifications

  • Must have a high school diploma or equivalent.
  • Minimum two years (three preferred) of HR admin support experience in a complex corporate environment.
  • Experience supporting end-to-end recruitment and interpreting HR policies.
  • Hands-on experience with HR systems (ATS, HRIS) and Microsoft 365.
  • Experience using Oracle Fusion, SharePoint, MS Teams and related tools.

Responsibilities

  • Coordinate recruitment activities (posting jobs, assessments, interviews, candidate materials).
  • Maintain recruitment and employee records across HR systems (Oracle Fusion, SharePoint, MS Teams).
  • Administer onboarding and offboarding, and handle employee data updates.

We are seeking aHuman Resources (HR) Coordinatorto join our team inVICTORIA, British Columbia, Canada.

As a member of the Talent Acquisition team, the HR Coordinator plays a key role in delivering positive candidate and employee experiences throughout the employment lifecycle. You will be engaged in meaningful work, responsible for coordinating and administering processes and activities in the areas of recruitment, employee onboarding and offboarding, and time and pay, while ensuring accurate employee data and the maintenance of HR systems/platforms. As a trusted resource, the HR Coordinator provides timely support and information to employees, candidates, and clients, ensuring compliance with organizational policies, procedures, and applicable legislation.

This role requires a highly organized and detail-oriented individual with exceptional client service skills. You are a proactive, collaborative team player who embraces change and is committed to continuous improvement. You are adept at navigating systems and take the initiative to learn and create efficiencies.

Hybrid Work Model

This position is located in our Victoria, BC office. You will have the flexibility to work part of the time on-campus and part of the time off-campus. The requirement for on-campus presence is a minimum of 40% of your schedule in a month.

Additional requirements are determined by the role functions and operational needs of each business area.

About the Team

The Employee Services Centre (ESC) plays a lead role in helping shape our changing workforce and advancing a positive employee experience. ESC is a strategic partner responsible for administrative, transactional, and operational services to enable the efficient management of the employment process and practices to drive organizational effectiveness and ensure application and compliance with associated policies and collective agreements to mitigate employment-related risks. Services include workforce planning, talent acquisition, labour relations, compensation, and benefits, leave and disability management, data analytics and reporting, diversity, equity, inclusion, and accessibility, occupational health and safety, and property management.

Responsibilities
  • Coordinate recruitment activities, including posting jobs, scheduling assessments and interviews, preparing candidate materials, and managing candidate records and communications in Oracle Fusion.
  • Maintain recruitment and employee records, job descriptions, templates, and documentation across HR systems, including Oracle Fusion, SharePoint, and MS Teams, while supporting audits and reporting requirements.
  • Administer employee lifecycle processes, including employee onboarding and offboarding, employee data updates and employment related changes.
  • Perform salary calculations to determine pay entitlements in accordance with the collective agreement, terms and conditions for excluded employees and HR policies.
  • Triage and respond to inquiries and service requests providing accurate information and guidance in accordance with policies, processes, procedures, collective agreement and terms and conditions for excluded employees.
  • Support HR systems and continuous improvement activities by maintaining procedures, conducting audits, updating knowledge resources, and troubleshooting Oracle Fusion issues.
  • Provide administrative support to the People and Culture division and assist with talent acquisition purchasing, expense tracking and Mastercard reconciliation.
Qualifications

Must have

  • High school diploma or equivalent.
  • Minimum of two years (preference for three years) of recent experience providing human resources administrative support in a complex, corporate environment that includes:
    • Experience supporting end-end recruitment
    • Experience interpreting and applying HR policies and legislation
    • Hands-on experience with HR systems (e.g., applicant tracking system (ATS), talent management, HRIS, etc.)
    • Demonstrated experience using Microsoft 365 (Word, Outlook, Excel, Power Point, Teams, SharePoint)
  • An equivalent combination of education, training and relevant experience may be considered.

Nice to have

  • Human resources education is preferred.
  • Experience providing HR/Administrative support in a unionized environment is preferred.
  • Experience using Oracle Fusion is preferred.

Knowledge, Skills and Abilities

  • Working knowledge of human resources polices, principles, practices and procedures.
  • Knowledge of applicable HR legislation such as employment standards, employment law, human rights legislation, the Public Service Act, collective agreement, and terms and conditions for excluded employees.
  • Strong interpersonal and customer service skills, demonstrating professionalism and diplomacy.
  • Excellent verbal and written communication skills.
  • Exceptional organizational and time management skills with the ability to independently prioritize and meet multiple deadlines.
  • Ability to manage high volumes of work in a fast paced environment and work under time constraints.
  • Demonstrates flexibility and the ability to adjust and adapt to change.
  • Demonstrates a high degree of initiative and ability to work independently.
  • Ability to work in a team environment and foster effective working relationships with peers, employees and clients.
  • Demonstrates sound judgment and the ability to deal with highly sensitive and private information maintaining confidentiality and discretion at all times.
  • Proficient with Microsoft 365 (Teams, Outlook, Word, Excel, PowerPoint) and Adobe products.
  • Ability to navigate and learn HR and other systems, software and tools (Oracle Fusion, testing platforms, ServiceNow).
