The role supports HR programs, maintains records, responds to inquiries, and ensures compliant, confidential handling of sensitive information in a busy hospital environment.

Qualifications

  • Diploma or degree in Human Resources, Business Administration, or related field.
  • Minimum 2-3 years of progressive administrative experience, preferably within a Human Resources environment.
  • Working knowledge of human resources practices including recruitment, employee records administration, labour relations support, compensation and benefits administration, and HR service delivery.
  • Knowledge of applicable legislation including the Employment Standards Act, Human Rights Code, Occupational Health and Safety Act, FIPPA, and PHIPA.

Responsibilities

  • Provide front-line support across HR programs and services.
  • Monitor shared HR inboxes, triage requests, and elevate matters as appropriate.
  • Prepare and process HR documentation, including employment letters and contract extensions.
  • Coordinate recruitment activities, including screening, interview scheduling, and onboarding administration.
  • Support workforce administration activities and record management.
  • Coordinate meetings, take minutes, and maintain confidential records.
  • Support administration of grievances, investigations, legal matters, and FOI requests.
  • Assist in preparation of reports, correspondence, and documentation for labour relations processes.
  • Support compensation, benefits, pension, and employee recognition programs.
  • Maintain job descriptions and ensure up-to-date documentation.
  • Assist with surveys and data submissions to Statistics Canada, OHA, and others.
  • Support HR initiatives and projects to enhance employee experience.
  • Monitor and maintain required employee documentation for compliance.

Job Description

The Coordinator, Human Resources provides comprehensive administrative, operational, and project coordination support across multiple Human Resources functions, including Labour Relations, Employee Relations, Recruitment, Compensation & Benefits, and HR Support Services. As a key member of the HR team, the role supports the efficient delivery of HR programs, processes, and services by coordinating activities, maintaining accurate documentation and records, responding to employee and leader inquiries, and supporting a broad range of HR initiatives.

The position serves as a central point of coordination for day-to-day HR operations, helping to ensure consistent, responsive, and customer-focused service delivery. The Coordinator supports the administration of recruitment and onboarding activities, labour relations processes, employee communications, HR correspondence, reporting requirements, and benefits-related programs. The role may also support meetings, interviews, investigations, legal and Freedom of Information requests, and other confidential HR matters.

Provide front-line support across HR programs and services.

Monitor shared HR inboxes, triage requests, and elevate matters as appropriate.

With a keen attention to detail, prepare and process HR documentation, including employment letters, contract extensions, leave-related correspondence, and employee communications.

Coordinate recruitment activities, including screening, interview scheduling, pre-employment requirements, candidate communications, and onboarding administration.

Support workforce administration activities, including seniority reviews and employment-related record management.

Coordinate meetings, prepare materials, take minutes, and maintain confidential records and documentation.

Support the administration and tracking of grievances, investigations, legal matters, Freedom of Information requests, and other confidential HR files.

Assist in the preparation of reports, correspondence, and documentation supporting labour relations processes.

Support the administration of compensation, benefits, pension, and employee recognition programs.

Coordinate the maintenance of job descriptions, ensuring documentation is accurate, up-to-date, and aligned with organizational requirements.

Assist with surveys and data submissions, including Statistics Canada, OHA, and other sector or government requirements.

Support HR initiatives and projects aimed at enhancing the employee and leader experience.

Support HR compliance activities through the monitoring, tracking, and maintenance of required employee documentation and records.

Coordinate professional registration verification processes and maintain associated records, ensuring compliance with organizational and regulatory requirements.

Participate in special projects, process improvement initiatives, and other duties in support of departmental and organizational priorities.

Qualifications

Diploma or degree in Human Resources, Business Administration, or a related field.

Minimum 2-3 years of progressive administrative experience, preferably within a Human Resources environment.

Working knowledge of human resources practices, including recruitment, employee records administration, labour relations support, compensation and benefits administration, and HR service delivery.

Knowledge of applicable legislation, including the Employment Standards Act, Human Rights Code, Occupational Health and Safety Act, FIPPA, and PHIPA.

Familiarity with collective agreements and unionized work environments is an asset.

Strong organizational and time management skills with the ability to manage multiple priorities and competing deadlines.

Excellent interpersonal, customer service, and communication skills, with the ability to interact effectively with employees, leaders, unions, vendors, and external partners.

Demonstrated ability to handle sensitive and confidential information with professionalism, discretion, and sound judgment.

Strong attention to detail and commitment to accuracy in preparing documentation, maintaining records, and performing audits and data reviews.

Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.

Experience using Human Resource Information Systems (HRIS), applicant tracking systems, and electronic records management systems.

Strong analytical and problem-solving skills, including the ability to identify discrepancies, gather information, and recommend solutions.

Ability to work independently and collaboratively within a fast-paced, customer-focused environment.

Experience in healthcare and/or a unionized environment is preferred.

Status: Temporary Full-Time

Site: Oakville Trafalgar Memorial Hospital, with travel to other sites as needed (Milton & Georgetown)

Hours: Mon-Fri 8:30-4:30
