What you will do:
We are seeking a detail-oriented, creative, and proactive HR Coordinator to join our team. The HR Coordinator will report directly to the HR Director – HR Operations and work closely with the onsite HR Business Partner (HR BP) to support various HR functions. This role is essential in ensuring smooth HR operations and providing excellent service to our employees.
Key Responsibilities:
- HR Administration: Maintain accurate employee records, manage HR databases, and ensure compliance with company policies and legal requirements.
- Employee Relations: Support the HR BP in addressing employee inquiries, resolving issues, and promoting a positive work environment.
- Leave of Absence Management: Administer and manage employee leave of absence requests, including medical leave, parental leave, and other types of leave. Ensure proper documentation, track leave balances, and communicate with employees and managers regarding leave status.
- HR Communications: Create engaging content for HR newsletters, including updates on company policies, employee achievements, upcoming events, and other relevant topics. Collaborate with the HR team to ensure timely and accurate distribution of newsletters.
- Employee Appreciation Events & Recognition Initiatives: Plan and execute employee appreciation events and activities to recognize and celebrate employee contributions. Coordinate logistics, communicate with employees, and ensure successful event outcomes.
- Culture-Building Initiatives: Develop and implement initiatives to foster a positive and inclusive workplace culture. Organize team-building activities, promote diversity and inclusion programs, and support efforts to enhance employee engagement and satisfaction.
- Annual Engagement Survey: Participate in the planning, administration, and analysis of the annual employee engagement survey. Collaborate with the HR team to gather feedback, identify areas for improvement, and develop action plans to enhance employee satisfaction and engagement.
- HR Projects: Collaborate with the HR Director and HR BP on various HR projects and initiatives to improve HR processes and enhance employee experience.
- Performance Management Process: Assisting with the annual performance management review process completed in the company’s HRIS (Paycom and Dayforce).
- Compliance: Ensure compliance with labor laws, company policies, and industry regulations.
- Offboarding: Coordinate offboarding efforts including sending offboarding correspondence, performing exit interviews and system status changes.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field.
- 2+ years of experience in HR coordination or similar role.
- Knowledge and application of Canadian labor standards; Knowledge of US labor regulations an asset.
- Knowledge of programs such as Canva, Publicate and Bright Author is considered an asset.
- Working knowledge of HRIS is considered a must; (Dayforce, Paycom).
- Strong organizational and time management skills.
- Excellent interpersonal & communication skills (written & verbal) in both French and English.
- Proficiency in HR software and Microsoft Office Suite.
- Ability to handle sensitive information with confidentiality and professionalism.
- Knowledge of labor laws and HR best practices.
- Experience working in a fast-paced environment.
- Must be able to successfully manage multiple tasks simultaneously.
- Valid passport as ability and availability to travel.
