SUMMARY
Provides professional and confidential administrative support to Human Resources. This incumbent act as a liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions.
PRIMARY RESPONSIBILITIES
HumanResource Administration
- Support all HR staff withadministrative tasks
- Monitor and coordinate HR Inboxfor general inquires, resumes, documentation, etc. and forwardto appropriate contact for follow up includingemployment verification letters
- Retrieve,date stamp and distribute incoming/outgoing mail, courierrequests
- Assists with employeefile retrieval, including terminated and/or off-site storagefiles.
- Updates Human ResourceIntranet as required
- Updatesand maintain the Organization database and HRMS for allareas of conditions of employment; including follow up of requirededucational verification and/or confirm with internal candidate file
- Maintains Work Break Orders andAveraging Permits (Employment Standards) for The Link Programs
- Attends and contributes toall appropriate meetings and related committees
- Assist with HR Reporting andProjects as required
Onboarding
- Arrange new hireorientations
- Prepareand assist with hire packages for new employees
- Assists in organizingand implementing human resources workshops, lunch & learns, etc.
- Receives and updates trackerwith reports from The Link Scheduler/Training Coordinator;including but not limited to, First Aid/CPR, NVCI, Suicide Intervention,Child and Adolescent Development, Intro to Youth Care Practice; etc.
- Coordinates Onboarding Trackerand schedules follow-ups
Organization Administration
- First point of contact forHuman Resources Department
- Createsand maintains a position or desk reference
- Adheresto established standards for documentation,correspondence, email and filing
- Participates in compliancetraining for the position as defined in The Link policy
- Other duties related to HumanResource functions
Employment/Recruitment
- Receiveand review posting requests, ensuring all required informationis accurate and brand consistent.Upon approval, postpositions on Intranet through Recruitment software.Distributepostings to external organizations.Create electronic and hardcopy competition folders with applicable documentation added for nextrecruitment efforts
- Manageand maintain applicant tracking system
- Assists with collection ofresumes, compiling screening guides then forwards competition files to theHuman Resource Consultant or Supervisor for screening.Schedules all interviews for HR or people leaders
- Completereference check as required
- Requesting,following up and processing Criminal Reference Check w/VS, ChildAbuse Registry Checks, Adult Abuse Registry Check (if applicable), PriorContact Checks (PCC) for all new employees.Update the ChecksTracking database
- Send for Follow up on positivePCC checks with applicable agencies
- Provide clearance emails, orstatus updates on new hires to Supervisors for ALL forms of requireddocumentation
- Responsible for organizing jobfair booth and materials for recruitment purposes. Also attends job fairsas needed
EXPERIENCE
- Minimum 1-2 years administrative experience
- Experience working with databases
- Experience within the child welfare system is an asset
- Knowledge of Indigenous language and culture is an asset
- Excellent organizational and time management skills
- Intermediate computer proficiency: Windows, MSOffice (Word, Excel, PowerPoint, Outlook, SharePoint etc.)
- Excellent interpersonal, organizational and communication skills
- Willingness to complete orientation and in-service training as per The Link policy
- Ability work independently and as part of a team
- Strives to create positive, memorable client experiences
- Work collaboratively and cooperatively with all levels of HR Team
- Demonstrates effective listening techniques; ensures mutual understanding of current subject
- Sensitivity to confidential information
- Makes suggestions for improvements and focuses on tasks completion

EDUCATION
- Graduate of a recognized business/office skills program or equivalent
- Education in Human Resources is an asset
CONDITIONS OF EMPLOYMENT
- Satisfactory Criminal Record Check with Vulnerable Sector Search, a clear Child Abuse Registry check with acceptable Prior Contact checks and a clear Adult Abuse Registry check, all done within the last 3 months
HOURS OF WORK
Full-time - 35 hours per week. Primary work hours will be during the daytime - Monday to Friday from 8:30 am to 4:30 pm with a one-hour unpaid lunch (please note this position is located on-site only). However, the role may require occasional evening or weekend work based on the needs of the organization.
