The Link:Youth and Family Supports is seeking a Community Investment Coordinator with emphasis on fund development and communications, based at our Winnipeg site. The Payroll & Administrative Clerk role supports payroll and administrative functions within a nonprofit environment.

The position requires strong accounting knowledge, payroll experience, and accuracy. We offer a supportive team, payroll and benefits administration, and opportunities to contribute to community programs and services.

Qualifications

  • Post secondary education in Payroll, Accounting and/or Finance.
  • Minimum 2 years relevant experience in Accounting and computerized payroll system.
  • Experience in accounts payable, accounts receivable and payroll.
  • Experience in JCP Modules.
  • Not-for-profit setting is an asset.

Responsibilities

  • Process salaried and hourly payroll for staff when main payroll staff unavailable.
  • Update employee information including vacation, sick leave, and salary changes.
  • Prepare monthly accruals and reversal entries; upload to financial system.
  • Oversee union payments monthly and ensure benefit deductions are recorded.
  • Assist with year-end payroll functions (T4/T4A, T2200).
  • Support internal and external payroll audits and prepare reports.

POSITION SUMMARY

The Payroll & Administrative Clerk performs dutiesassigned that ensure the effective, efficient and accurate operations of thepayroll and administrative departments. Consistently ensuring accounting andpayroll system internal and external deadlines are met, policy implementationand assisting in providing accounting, finance-related and payroll support tothe Administration and Payroll Manager as well as the Controller

POSITION SCOPE/IMPACT OF ERROR

The impact of errors in theperformance of duties for this role can have significant repercussions on bothFinance and Payroll departments. Inaccuracies can lead to incorrect employeepayments resulting in employee complaints and potential legal implications.Moreover, inaccurate processing in the finance department, miscalculations, andmissing deadlines can incur penalties or interest charges. Therefore,meticulous attention to details and adherence to the policies are essential tothe efficiency of this role.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Support to Payroll Department
  • Processsalaried and hourly payroll for unionized and non-unionized staff whenever mainpayroll staff are not available which would include verifying timesheets,performing calculations, balances, inputs and transmits the payroll, setting upnew hires or termination and maintaining checklists before payroll isprocessed, required for the full cycle of payroll.
  • Updatesemployee information including reports to update changes in vacation, sickleave and salary rates.
  • Formatscurrent pay journal entries received from external payroll service provider anddownloads into the financial system. Prepares monthly accruals and reversalentries and uploads them into the financial system.
  • Overseethe union payments on a monthly basis.
  • Providesand maintains monthly lists of employees who are paying benefits outside ofpayroll, making sure funds are collected on a monthly basis and recordedeffectively in the accounting system.
  • Processyear-end payroll functions include T4/T4As, T2200.
  • Fileyearly WCB reconciliations, EHT yearly reconciliations.
  • Reviews year-to-dates, balancesto Canada Revenue Agency statements, prepares and processes information andadjustments for T4/T4A's.
  • Provide payroll related reportsfor internal and external shareholders, create reports in the format asrequired by stakeholders, compensation report, staffing reports, and othersthat may be required as needed
Benefits Administration
  • Administerthe group benefits and pension plans, solely responsible for enrolling andterminating employees.
  • Administeremployee benefits related to payroll such as health insurance, retirement plansand other deductions.
  • Ensureaccurate and timely processing of benefit enrollments and changes.
  • Monthlyreconciliations on the benefit plan within financial statement.
  • Creatingpension payments to the provider and reconciling with the financial statement.
Support to Administration Department (float position)
  • Receptionmanagement (backup role only), greet and assist visitors, answer phone callsand maintain a welcoming front desk atmosphere.
  • Directinquiries to the appropriate personnel and manage incoming and outgoingmail.
  • Monitorand replenish office supplies, ensuring a well-equipped and organizedworkspace.
  • Coordinategrocery purchases, manage inventory and ensure a consistent supply ofrefreshments for the office.
  • Purchaseitems as requested by the Payroll and Administration manager on a day-to-daybasis.
Other Duties and Specialized Routines
  • Prepare for and participate in internaland external payroll audits.
  • Ensure that all documentation isorganized and readily available.
  • Create working papers on a monthly basisfor account reconciliations for the auditors related to payroll relatedaccounts on Sage 300.
  • Assists with the preparation of programbudgets by providing information as identified.
  • Provides vacation coverage support foraccounting staff.
  • Completes year end sorting and filing ofdocuments for storage purposes.

Other duties as related to the position and asreasonably assigned by the supervisor, or as circumstances dictate, all withinthe context of The Link’s Mission, Vision, and Guiding Principles as well as astrong and progressive customer service and community service orientation.

QUALIFICATIONS
Education
  • Post secondary education in Payroll, Accountingand/or Finance
Experience
  • Minimum 2years relevant experience in Accounting and computerized payroll system
  • Experiencein accounts payable, accounts receivable and payroll
  • Experiencein JCP Modules
  • Experienceworking in a not-for-profit setting is an asset
Knowledge, Skills and Abilities
  • Understanding of accounting and payrollprincipals
  • Computer experience in accountingsoftware (Sage 300), Payworks, and Microsoft Office Suite
  • Knowledge of legislative rules andregulations governing payroll
  • High level accuracy and attention todetail
