Empowered by the First Nations Leadership Council and in partnership with the provincial and federal governments, the BC First Nations Justice Council (BCFNJC) is responsible to 204 First Nations in BC. Our mandate is to reduce the overrepresentation of Indigenous people in the criminal justice system and to support Nations as they move to sovereignty over justice.

Position Summary :
Reporting to the Regional Human Resources Directors, the Human Resources (HR) Administrator will play a crucial supporting role in BCFNJC’s HR department, within a complex work environment. The HR Administrator is the focal point of communication for the human resources team, with efficiency always being the key goal. The role will be responsible for providing a consistently high standard of administrative support and project management to the human resources staff. Other responsibilities will include organizing the overall workload and scheduling, as well as ensuring the effective use of resources to assist in the smooth running of the department.
The HR Administrator provides departmental reception and highly confidential administrative support to the team; and performs clerical duties in support of the recruitment and selection of staff and other department functions. The ideal candidate will have a deep understanding of Indigenous culture, and the unique challenges faced by an Indigenous-led organization.
Key Duties and Responsibilities :
- Function within the guidelines of BCFNJC’s River of Unity and Kinship Protocol.
- Maintain a high level of confidentiality and discretion on all matters.
- Promote a positive workplace culture.
- Prepare, input, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material.
- Monitor HR emails for distribution to appropriate HR representatives.
- Schedule and confirm appointments, meetings and prepare necessary materials for Regional HR Directors and team when required.
- Order items as needed (including cultural supplies, office supplies, gifts, etc.).
- Answer telephone and electronic enquiries and relay telephone calls and messages.
- Function as a representative of HR at engagements when required and with appropriate advanced notice.
- Record and prepare minutes of meetings.
- Arrange travel schedules and make reservations.
- Compile data, statistics and other information and may conduct research.
- Organize engagements, trainings and conferences as needed.
- Stay up to date and document procedures and use of current software.
- Setup and maintain an efficient electronic filing system, ensuring record keeping is kept in accordance with BCFNJC’s taxonomy guidelines for easy retrieval of documents.
- Schedule appointments for interviews when department capacity requires it.
- Assist recording, mailing and / or filing appropriate employment documents specific to the various classifications of employees.
- Send correspondence for the various classifications of applicants as needed.
- Process incoming mail and other materials; prioritize materials for action; distribute outgoing mail.
- Prepare materials for new employee orientation sessions, staff development, and other employee communications, as assigned.
- Support the HR Project lead as backup for maintaining database and files for training certificates and records for conditions of employment.
- Orders department supplies, materials, and equipment; ensures requisitions are appropriately authorized, and monitors payments.
- Monitor the department budget and tracks expenditures.
- Assists with special projects.
- Perform other Human Resources related duties as directed by Regional HR Directors or HR Managers.
- Coordinates with other BCFNJC administrative staff and team leads.
- Perform other related duties as assigned enthusiastically and without hesitation.
Qualifications and Experience :
- Completion of a one- or two-year college diploma or other related program of study.
- Four years of progressively responsible secretarial or clerical experience preferred.
- Two years of human resources experience and / or knowledge of human resources operations is an asset.
- Equivalent combinations of education and experience will be evaluated.
- A Knowledge of First Nations history, current context, and processes of colonialism.
- Ability to maintain and preserve strict confidentiality.
- Minimum of three years’ experience in a high-paced office environment or equivalent.
- Must be computer literate with specific experience in Microsoft Windows, Microsoft Office, and Windows programs WORD and EXCEL; experience in Human Resource software will be helpful.
- Ability to work with all levels of employees and departments.
- Well versed in proper grammar, spelling, punctuation, and composition.
- Knowledge of and / or experience with project management.
- Proven skill to format and draft correspondence, forms, reports, and proposals.
- Ability to accurately proofread materials.
- Ability to work under pressure and meet deadlines.
- Ability to organize, prioritize and multi-task.
- Ability to take initiative and work with minimal supervision.
- Effective verbal and written communication skills, including the ability to develop and deliver presentations.
- Strong attention to detail and problem-solving skills.
- Ability to remain adaptable to situations and learn new skills as required.

Pay Range :
Starts at $55,000-$70,000. Salary will be commensurate with experience and education.
Full-time (35 hours / week); 8 : 30 am - 4 : 30 pm Mondays to Fridays.
