About the Role
Aosom Canada is looking for a bilingual, highly organized business professional who can work directly with the General Manager to turn priorities into action and ensure important initiatives get done.
This is not a traditional administrative assistant role. It is a cross-functional business operations and project coordination position for someone who takes ownership, solves problems, brings structure to complex assignments, and is comfortable working across departments and with our headquarters in China.
You will work closely with the General Manager and department leaders across the business, gaining broad exposure to Sales, Marketing, Operations, Finance, HR, Customer Service, and corporate initiatives.
What You’ll Do:
Business & Project Coordination
- Support the General Manager in executing annual business plans and key company priorities.
- Turn management direction into clear action plans, timelines, responsibilities, and follow-up.
- Coordinate cross-functional projects involving Sales, Marketing, Operations, Finance, HR, Customer Service, and other teams.
- Track project progress, deadlines, risks, and outstanding action items.
- Organize meetings, prepare agendas and materials, document decisions, and ensure follow-up actions are completed.
- Identify delays or issues early and bring them to the General Manager’s attention with recommendations where appropriate.
- Serve as a key liaison between the Canadian General Manager’s Office and headquarters in China.
- Coordinate requests, reports, information, and follow-up between Canadian management and headquarters.
- Participate in bilingual business meetings and ensure decisions and requirements are clearly understood.
- Communicate Canadian business needs and operational issues to headquarters and coordinate responses.
- Prepare and review business communications and documents in English and Chinese as required.
Operations & Process Improvement
- Review business processes and identify opportunities to improve efficiency, consistency, and accountability.
- Document processes, procedures, and workflows.
- Coordinate the implementation of new processes, policies, and company initiatives.
- Support training and communication when processes or procedures change.
HR & Management Support
- Support selected HR and management initiatives, including performance management coordination, policy implementation, employee communications, and organizational projects.
- Assist with expense monitoring and administrative controls.
- Handle confidential business and personnel information with discretion and professionalism.
- Support corporate culture and employee engagement initiatives.
Special Projects
- Research, analyze, coordinate, and execute special projects assigned by the General Manager.
- Take ownership of assignments from initial planning through completion.
- Help ensure important priorities move from discussion to execution.
What We’re Looking For:
- 5+ years of relevant professional experience in business operations, project management, business administration, business analysis, executive operations, management consulting, or a similar cross-functional role.
- Experience working directly with senior management or executives is strongly preferred.
- Experience coordinating projects involving multiple departments or stakeholders.
- Experience working with an international organization or overseas headquarters is an asset.
- Professional fluency in both English and Mandarin Chinese is mandatory, including speaking, reading, and writing.
- Bachelor’s degree or higher in Business Administration, Management, Operations, or a related field.
- Strong proficiency in Microsoft Excel, PowerPoint, Word, and other Microsoft Office applications.
- Excellent organizational, analytical, communication, and project coordination skills.
- Strong follow-up and accountability skills, with the confidence to work across departments and ensure commitments are met.
- Strong judgment, initiative, problem-solving ability, and sense of ownership.
- Ability to take an ambiguous assignment, create structure around it, and drive it through to completion.
- Ability to work effectively in a fast-paced, international, and multicultural environment.
- High level of discretion and professionalism when handling confidential information.

You don’t need every step laid out for you. You can organize the work, identify who needs to be involved, follow up on commitments, recognize problems early, and keep management informed.
You are persistent without being difficult, confident working across departments, comfortable communicating with senior management, and able to manage multiple priorities without losing sight of what matters most.
You are also comfortable operating between Canadian teams and Chinese headquarters and can communicate professionally and confidently in both languages.

Salary: CA$60,000–$80,000 per year, based on experience and qualifications.
