G3 Canada Limited is seeking a Front Desk Administrator for the Head Office in downtown Winnipeg, on-site. You will be the first point of contact, providing a professional, welcoming office experience and handling reception, inquiries, and coordination tasks with discretion.

You will support visitors, executives, and staff, manage courier logistics, meeting logistics, and office supplies, ensuring a well-organized and efficient workplace.

Qualifications

  • Minimum of three to five years of related experience in a corporate office.
  • Strong customer service orientation and professional interaction with employees, executives, visitors, vendors, candidates, and service providers.
  • Experience coordinating couriers, shipping documents, meeting logistics, supplies, catering, travel, and office support is considered an asset.
  • Proficiency with Microsoft Office, Outlook, and Teams.

Responsibilities

  • Provide professional reception service by greeting guests, managing calls and inquiries, coordinating visitors and access requirements, and maintaining a welcoming front-office environment.
  • Coordinate local and international courier shipments of business-critical shipping documents, including preparing, processing, tracking, and distributing time-sensitive materials accurately and on time.
  • Complete cheque deposits, including scanning and coding deposits and related transactions accurately, while maintaining appropriate supporting documentation.
  • Coordinate meeting rooms, interviews, catering, refreshments, travel, expenses, and related logistics as required.
  • Monitor, order, and replenish office, kitchen, lunchroom, and meeting supplies, including coffee, dairy, and Nespresso supplies, and complete basic daily upkeep of the Nespresso coffee machines.
  • Ensure reception, waiting areas, boardrooms, meeting rooms, kitchen areas, and shared spaces are clean, organized, adequately supplied, and ready for use.
  • Handle confidential information with discretion, respond to impromptu staff requests, support special projects and events, and provide scanning, document preparation, and general office support as required.

Job Title: Front Desk Administrator

As the first point of contact for G3's Head Office in downtown Winnipeg, the Front Desk Administrator plays an important role in creating a professional, welcoming, and efficient office experience for employees, executives, visitors, and external partners. This position requires a service-oriented individual who thrives in a corporate office environment, takes pride in delivering high-quality administrative support, and can manage a diverse range of reception, office support, and time-sensitive coordination responsibilities with accuracy, discretion, and sound judgment. Key areas of responsibility include visitor reception, telephone and inquiry management, meeting and interview coordination, office administration, facilities and supply management, courier coordination of business-critical shipping documents, cheque deposits, and administrative support for business operations.

PROFESSIONAL QUALIFICATIONS & EXPERIENCE:
  • Business Administration certificate, office administration training, or equivalent education and experience may be considered;
  • Minimum of three to five years of related experience in a corporate office, reception, office support, or fast-paced administrative environment;
  • Strong customer service orientation and professional interaction with employees, executives, visitors, vendors, candidates, and service providers;
  • Experience coordinating couriers, shipping documents, meeting logistics, supplies, catering, travel, and office support is considered an asset;
  • Proficiency with Microsoft Office, Outlook, and Teams; experience with Concur or travel and expense systems is considered an asset;
  • Detail-oriented with effective communication, multitasking, prioritization, and time management skills;
  • Ability to work independently, exercise sound judgment, solve problems, and adapt to changing priorities;
  • Ability to deal with sensitive matters and maintain strict confidentiality;
  • Knowledge of basic accounting, cheque and deposit processing, and office support procedures is considered an asset.
