Overview

Location: Remote / Hybrid based out of Brampton, ON (CNC3)

Type: Full-Time, Salary ($50,000-$80,000 based on experience level)

Coywolf Aviation is a boutique aircraft management and charter company specializing in providing tailored aviation solutions for discerning clients across Canada. Our team is dedicated to safety, service, and precision - offering a personalized approach that makes private aviation seamless and enjoyable.

We’re looking for a Flight Coordinator to join our growing operations team. This role is ideal for someone who thrives in a fast-paced environment, has exceptional attention to detail, and takes pride in delivering a world-class client experience.

Responsibilities
  • Serve as the first point of contact for aircraft owners, clients, and crew - responding promptly and professionally to all flight-related inquiries.
  • Manage and maintain the client’s flight schedule, ensuring accuracy and clear communication across all departments.
  • Coordinate all logistical details for flights, including hotels, ground transportation, catering, and crew travel.
  • Arrange customs clearances, fuel uplifts, aircraft parking, and ground handling at both domestic and international airports.
  • Monitor all active flights for departures, arrivals, delays, or cancellations, updating clients and crew accordingly.
  • Maintain discretion and confidentiality when handling personal and sensitive client information.
  • Collaborate closely with all departments to ensure smooth day-to-day execution of flights.
  • Provide after-hours and weekend support as needed.
  • Some business travel may be required for yearly conferences.
Qualifications
  • Flight Services degree or prior experience in aviation operations, dispatch, or flight coordination (corporate or charter experience preferred).
  • Strong organizational skills and the ability to manage multiple priorities under pressure.
  • Excellent communication skills, both written and verbal.
  • Proficient with Microsoft Office and flight scheduling platforms (experience with SkyLegs, FOS, or similar software as an asset).
  • A self-starter with strong problem-solving abilities and exceptional attention to detail.
  • Must be available for flexible hours, including weekends and evenings as required.
