The Finance Assistant plays a critical role for the Corporate Finance team by providing effective coordination of finance and banking functions, and supporting the Manager of Finance and associated team.
Please note that the role work full-time onsite in the corporate office.
DUTIES & RESPONSIBILITIES:
- Acting as liaison between Finance teams and bank contacts
- Coordinating documentation requests with various banks (ex: loan statements, LC statements, transaction inquiries, term deposit statements, etc.);
- Assisting in the coordination of newly issued financial instruments (ex: bank drafts, certified cheques, letter of credits, etc.);
- Assisting in the coordination of the cash call process, including but not limited to: communicating with partners to confirm payments, ensure cash calls are processed accordingly, tracking deadlines for payments to partners, and tracking deadlines for payments owed.
- Assisting in the coordination of profit and equity distributions to internal and external investors, including: coordinating with the Finance Team regarding the approval of the distribution package, coordinating with bank contacts to ensure funding requirements are me, organizing distribution packages and sending them to appropriate internal and external partners.
- Processing stop payments
- Opening bank accounts as required;
- Drafting letter of directions as required
- Processing and digitally filing invoices/cheques once approved
- Maintaining tracking sheets for various deadlines
- Creating contact cards;
- Printing, preparing, and flagging material
- Providing administrative support to Manager with meeting management, booking boardrooms, meeting prep and logistics, catering for meetings, etc.
- Managing mail and couriers for team
- Coordinating internal team events and outings
- Managing office supplies and inventory for team
REQUIREMENTS:
- Bachelor’s degree in Business/Commerce, Finance, Accounting, or a related field preferred
- 1 year+ of related experience in administration and/or administrative assistant in a corporate office environment preferred
- Excellent organizational skills with the ability to multi-task and prioritize timelines
- Strong attention to detail
- Proficiency with Microsoft applications (Microsoft Office, Word, Outlook, Excel, and Power Point), experience with Excel and spreadsheets is required
- Detail oriented self-starter with time management skills
- Must be able to prioritize effectively and seek out solutions as needed
- Collaborative team player with strong interpersonal skills and the ability to coordinate and communicate with employees at various levels in the organization
- Effective verbal, writing and listening communications skills
