Role reports to: Sr Maintenance and Facilities Manager

What you will do

The Facilities Coordinator supports the execution of Facilities department activities, including compliance and quality activities such as investigations, trainings, audits, and other work supporting safety, quality, and GMP documentation requirements.

Key Responsibilities

  • Develop maintenance/calibration standards, planning and scheduling in CMMS Maximo per preventative maintenance and calibration programs.
  • Establish procedures and conduct studies to enhance industrial health and safety or identify and correct hazards.
  • Develop reporting metrics for GMP compliance and preventative maintenance.
  • Lead facility improvement projects, collaborate with engineers for specifications, design reviews, and project execution, supporting multidisciplinary teams.
  • Coordinate with facilities vendors as needed.
  • Analyze and trend facilities data as required.
  • Lead investigations, CAPAs, and change controls, ensuring documentation accuracy and adherence to deadlines.
  • Write SOPs and risk assessments.
  • Manage department record retention activities.
  • Support contractors with GMP compliance and other compliance tasks.
  • Prepare qualification protocols.
  • Interface with Quality Assurance, EHS, Manufacturing, and other areas to resolve issues and facilitate compliance decisions.
  • Represent the Facilities department on compliance topics and coordinate responses to inspections.
  • Review work documentation for completeness and compliance, guiding technicians and internal customers.
  • Collaborate with training specialists to mitigate compliance risks related to facilities training programs.
  • Reassess systems and processes for GMP adherence and implement improvements.
  • Support safety, quality, and GMP documentation activities as needed.

Qualifications

Required Qualifications

  • Bachelor's degree in Engineering, Science, or related field or equivalent experience.
  • At least 2 years of facilities experience, preferably in a GMP environment.

Desired Qualifications

  • Knowledge of regulatory requirements related to facility operations.
  • Excellent communication and interpersonal skills.
  • Experience with CMMS systems such as Maximo.
  • Certifications in quality or compliance management are a plus.
  • Data analytics experience is an asset.
  • Discretion handling confidential matters.
  • Strong interpersonal, influence, planning, organizational, and time management skills.
  • Team-oriented with a collaborative approach.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
