Job summary

Dye & Durham Corporation in Toronto is seeking a Facilities Coordinator to deliver world-class facilities support for our office. You will oversee front-of-house duties, visitor management, and executive support for senior leaders, while coordinating moves and ensuring compliance with security policies.

Qualifications

  • 2-3 years of facilities/office coordination in a corporate setting.
  • Excellent written and verbal communication and problem-solving skills.
  • Ability to manage projects and schedules independently.
  • Strong customer and staff focus with organizational excellence.
  • Proficient in MS Office (Word, Excel, Teams, Project, PowerPoint).
  • Team player but capable of working independently when needed.
  • Experience with health & safety and first aid is an asset.
  • Envoy experience and floor plan literacy are advantages.
  • FMP certification is an asset.

Responsibilities

  • Provide front-of-house duties, visitor management, and meeting room support.
  • Assist senior leaders with diary, travel, and ad hoc tasks.
  • Coordinate office moves, relocations, and post-move support.
  • Manage physical security protocols and access for the site.
  • Serve as first contact for security, property management and vendors.
  • Manage Boardroom bookings including catering.
  • Maintain reception inbox and coordinate supplies and vendors.
  • Coordinate general repairs with Building Operations and Property Management.
  • Support life safety, evacuation procedures, and on-site first aid needs.
  • Conduct site inspections and coordinate IT/HR/social committee collaboration.

Job description

The Facilities Coordinator is responsible for providing facilities support services in our Toronto office, ensuring a positive visitor and employee experience and the consistent implementation of D&D Facilities policies, processes, and programs.

Specific Responsibilities:
  • Provide for reception and associated front-of-house duties, including visitor management, telephone enquiries, meeting room support, mail and deliveries, and other administrative or workplace services as required.
  • Provide executive assistance and administrative support to senior leaders when required, including meeting coordination, diary and travel support, and other ad hoc requests.
  • Coordinate and provide hands-on support throughout office moves, including employee relocations, desk and equipment allocation, move-day logistics, access arrangements, signage, communications and post-move support.
  • Manages physical security protocols, and ensure compliance.
  • Manages physical security access for the site, including activation, deactivation of security passes as required.
  • Acts as first point of contact for security, property management and vendors.
  • Manages and maintains Boardroom(s) bookings for ELT/SLT meetings including catering.
  • Manages reception email inbox.
  • Supports the ordering, managementand replenishment of office supplies, coffee, coffee machines and food vendors.
  • Coordinates with Building Operations, Property Management for general repairs and maintenance of facility.
  • Supports office efficiencies and support services: Facilities contractors, vendors, HVAC, cleaning, staff lounge equipment, office/furniture repairs and approving non-IT supply requisitions.
  • Responsible for coordinating and supporting the development of life safety/evacuation procedures, health & safety team and onsite first aid requirements.
  • Performs regular site inspections and equipment audits as required.
  • Collaborate with IT support and HR and social committee teams.
  • Other duties as assigned.

Knowledge, Skills & Experience:
  • 2-3 years experience in facilities/office coordination within in a corporate office environment (Reception, customer support services and event catering experience and or a combination of experience is highly desirable (or equivalent combination of education or work experience)
  • Must have excellent written and verbal communication, interpersonal, and problem-solving skill sets
  • Ability to manage and execute projects and work schedules independently
  • Must have a strong desire to put customers and staff first.
  • Must be organized, detail-oriented, and be able to multi-task and work well under pressure.
  • Be proficient with MS Office products, (Word, Excel, Teams, Project and Power point)
  • Must be able to work as part of a team as well as be capable of working independently when required.
  • Health & Safety, and First Aid experience an asset.
  • Experience using Envoy is an asset
  • Certified FMP an asset.
  • Ability to read/understand floor plans/ architectural drawings an asset.
Other Contextual Information/Special Features:
  • Must work in the office full time (no hybrid).
