Location: Virtual Office (Flexible Location)

Reports To: President, Board of Directors

Term: One year contract

Job Summary:

The Executive Director (ED) serves the British Columbia Therapeutic Recreation Association (BCTRA), a membership-driven organization that advances the profession of Therapeutic Recreation in British Columbia. The ED is responsible for ensuring the organization’s mission is achieved through strategic leadership, implementation of strategic plans set by the Board of Directors and following BCTRA’s operational and policy manual and working within the association by-laws. Representing BCTRA to members, community partners, credentialing bodies, government, and the public, the ED as the sole staff member completes tasks related to data entry, program development, financial management, and operational efficiency to optimize resources and drive organizational growth. Additionally, the ED will support managing and processing memberships and handle administrative tasks like note taking as requested by the Board of Directors. The ED will oversee all aspects of the organization, have the ability to work independently and collaboratively with an active Board.

Key Responsibilities:

Operational Planning and Management:

Develop comprehensive operational plans with specific objectives and activities aligned with BCTRA’s strategic goals and budget.

Oversee the efficient day-to-day operations of BCTRA

Identify and implement effective management and administrative systems, structures, and policies.

Review and recommend changes to existing policies annually, ensuring compliance with regulations.

Determine Board needs, assisting Director and committee recruitment, and foster a positive work environment.

Coordinates board meetings by prepares and distributes agendas and minutes, takes follow-up action on clerical issues. Prepares an administrative report for board meetings.

Prepares the Annual Report for the Annual General Meeting.

Membership Management:

Oversee membership management, including recruitment, retention, and engagement strategies.

Develop and implement effective communication strategies to membership.

Identify and develop member benefits with the aim to increase membership.

Address membership issues and concerns promptly and effectively.

Assists with registration, promotion, continuing education credits and facilitation of education sessions to members and non-members.

Financial Planning and Management:

Prepare and manage the annual budget, ensuring BCTRA operates within budget guidelines.

Develop and secure funding for BCTRA operations by increasing membership including non-dues revenue sources.

Support the membership director with administration related duties during the membership renewal process.

Work with the Treasurer to provide regular financial reports to the Board and ensure compliance with financial regulations.

Monitor cash flow and approve expenditures within delegated authority.

Sets up and maintains filing systems; maintains database records, generates and mails renewal notices, reviews new applications and liaises with the Membership Director, processes new applications and membership renewals, updates membership lists, responds to employer verification requests.

Provides bookkeeping, reconciles all bank statements monthly.

Strategic Leadership:

Collaborate with the Board of Directors to develop and implement the vision, mission, and strategic plan for BCTRA.

Provide leadership in developing programs, organizational, and financial plans with the Board and ensure the implementation of Board-approved policies.

Foster effective teamwork between the Board, membership, committees, external partners, and volunteers.

Act as a spokesperson for BCTRA alongside the Board President.

Identify, assess, and inform the Board of internal and external issues affecting BCTRA.

Advocacy, Promotions and Public Relations:

Establish and maintain relationships with community groups, unions, members, politicians, and educational institutions to advance BCTRA’s goals.

Strengthen BCTRA’s brand and emphasize its value within the healthcare and community sectors.

Promote BCTRA through public speaking, events, and collaborations with educational bodies and other organizations.

Communicate with partners to inform them about BCTRA’s work and identify community changes.

Promotes BCTRA through the website by maintaining the website, making structural changes, maintaining membership lists, journal subscription, and social media accounts.

Program Planning and Implementation:

Supports the planning, implementation, and evaluation of BCTRA’s initiatives and services, including key events like the Annual Education day/ AGM, and or Conferences.

Ensure programs and services align with BCTRA’s mission and Board priorities.

Supports education initiatives as requested by the Education Director and in consultation with the education committee

Identify, assess and evaluate risks to BCTRA’s members, finances, and reputation and report to the Board.

Implement measures to mitigate risks and ensure adequate insurance coverage.

Qualifications:

Education and Experience:

Bachelor’s degree in Healthcare Administration, Nonprofit Management, Business Management, or a related field (Master’s preferred).

Minimum of 3-5 years of progressive leadership experience in the nonprofit association or a related sector, with at least 3 years in a senior management role.

Knowledge of Recreation Therapy in British Columbia and Canada.

Certified Association Executive (CAE) designation is an asset.

Skills and Abilities:

Strong leadership, strategic thinking, project management and organizational skills.

Excellent communication and interpersonal skills.

Proficiency in financial management and budgeting.

Familiarity with the field of recreation therapy and professional standards.

Technologically savvy with knowledge of Quickbooks, Google Workspace, association management systems, Microsoft Office, Wordpress and digital marketing.

Bookkeeping, data entry and accounting skills.

Website maintenance and management skills.

Ability to develop and implement new and unique ways to improve operations and create new opportunities.

Effective communicator, creative, and innovative thinker.

Customer-centric with a focus on member needs.

Strong problem-solving, planning, and organizational skills.

Working Conditions:

Virtual office environment with flexible work hours, including some evenings and weekends.

Occasional travel to attend meetings, conferences, and events.

Approximate hours per week: 18- 23 hours

Wage range: $35.00-$40.00/Hour
