Your role:

As the Executive Assistant to the CEO of Braindate, you will play a vital role in managing and coordinating essential tasks to enhance productivity and streamline operations. Your support will empower the CEO to focus on strategic initiatives while balancing professional responsibilities and personal commitments.

Acting as the main point of contact, you will oversee calendar management, travel arrangements, and meeting preparations with keen attention to detail. You’ll also foster relationships within the CEO’s network, ensuring stakeholders feel valued and engaged.

In addition to administrative duties, you will collaborate as a creative thinking partner, supporting various projects from team events to content management. Your proactive problem-solving and organizational skills will help track key objectives and facilitate communication, enabling the CEO to prioritize high-impact decisions and drive innovation.

Your responsibilities:

Administrative Support:

  1. Calendar Management: Organize and manage a complex calendar, booking meetings and ensuring all commitments are honored.
  2. Travel Coordination: Help find the best accommodations and book travel arrangements, including logistics for attending events.
  3. Expense Management: Compile and track business expenses, and organize insurance claims.
  4. Meeting Preparation: Prepare agendas and materials for meetings, and support with follow-ups.

Networking and Relationship Management:

  1. Client Meetings: Book and coordinate meetings with potential clients.
  2. LinkedIn Management: Support in managing and monitoring LinkedIn connections while fostering meaningful relationships.
  3. Network Engagement: Assist in making your network feel seen and appreciated through thoughtful outreach.

Project and Event Coordination:

  1. Team Events: Support in coordinating team events to build camaraderie and culture within the organization.
  2. Progress Tracking: Track progress on key objectives (Rocks) and support in planning next steps.

Content Management and Speaking ops:

  1. Speaker Opportunities: Reach out and coordinate logistics for speaking opportunities and engagements.
  2. Social Media Management: Assist in content creation and scheduling for social media platforms.
  3. Book Writing Support: Help research and organize content for book writing projects.
Some qualities that will set you apart:
  1. Do you have 5-10 years of experience as an Executive Assistant, Project Manager, or Coordinator?
  2. Are you an impeccable communicator, both orally and in writing?
  3. Can you demonstrate a strong entrepreneurial mindset and take the initiative?
  4. Are you organized yet creative, able to balance structure with innovative thinking?
  5. Can you anticipate needs and manage multiple priorities effectively?
  6. Are you authentic, kind, and compassionate in your interactions?
