We are currently looking for an exceptional Executive Assistant to support the EVP, Chief Legal & Public Affairs Officer of Oxford Properties at our corporate head office in Downtown Toronto.
You will be a key member of an engaged, high-reaching team and part of a world-class, winning culture that prioritizes people development and focuses on long-term growth.
Principal Responsibilities
- Providing a full range of confidential administrative services ensuring professionalism at every interaction.
- Management of meetings which includes scheduling, preparing agendas, taking minutes, and documenting action items, including at leadership team meetings, strategic sessions, and committee meetings.
- Preparing and coordinating meetings and events such as all-team Town Halls, leadership team meetings, offsites and other department-wide meetings.
- Investment Committee (“IC”) administration that entails meeting setup and co-ordination with IC members, weekly communications, resolutions and administrative matters related to the circulation of timely materials amongst IC members via emails, MS Teams and SharePoint sites.
- Preparing confidential reports, presentations, communications, and documents relating to matters of sensitive nature on behalf of the leader.
- Proactively recommending enhancements to processes and issues to increase efficiencies and share best practices, preparing guidelines and assisting team with approvals.
- Managing, coordinating, and maintaining a complex calendar with conflicting priorities.
- Building strong relationships across the organization, including partnering with internal and external stakeholders.
- Prioritizing conflicting needs, troubleshooting, handling matters expeditiously, proactively and following-through on projects.
- Assisting with management of invoices and budget reports and accruals.
- Be an effective teammate and flexible in adjusting to changing work priorities.
- Participate fully as a member of the team and contribute to a positive and inclusive work environment.
- Coordinate extensive and sometimes complex domestic and international travel arrangements, hotels and itineraries.
To Succeed In This Role, You Will Have
- At least 10 years’ experience supporting a C-suite executive, ideally in a large, complex, international organization.
- A post-secondary education (college or university) is preferred.
- Experience working in a law firm or legal environment is an asset.
- Excellent computer literacy, MS Office Suite experience and digital tools experience including MS Teams, SharePoint and PowerPoint.
- The ability to work well under pressure and meet tight deadlines while maintaining attention to detail.
- Superior customer service skills and professionalism when partnering with all levels and external stakeholders.
- Good judgment in dealing with sensitive and confidential materials and matters.
- Exceptional interpersonal, verbal and written communication skills.
- Resiliency, resourceful and flexible approach in adapting to changes to the leader’s accountabilities, projects, and priorities.
- Flexibility to work extra hours on occasion and sometimes on short notice.
