Job summary

Altis Technology is seeking an experienced Executive Assistant and Board Liaison to support the President and CEO, senior leaders, and Board operations in a public sector environment. The role focuses on executive administration, governance, and ensuring sensitive matters are handled with discretion.

Qualifications

  • 5+ years of direct administrative and corporate secretarial support experience with senior executives and Board members.
  • Advanced Microsoft Office skills (Word, Excel, PowerPoint, etc.).
  • Expert written and verbal communication skills in English (French bilingualism a plus).
  • Strong judgement, discretion, and ability to handle confidential information.

Responsibilities

  • Manage a complex executive calendar, travel arrangements, expenses, correspondence, presentations, events, and competing priorities.
  • Monitor commitments, communications, and sensitive issues with timely follow-up and escalation as needed.
  • Coordinate Board and Committee meetings, notices, agendas, board packages, logistics and stakeholder materials.
  • Attend meetings, take accurate minutes, draft resolutions and motions for Board activities.
  • Collaborate with internal teams to compile materials and maintain consistent information flow.
  • Support annual governance filings and ensure compliance with applicable laws and by-laws.

Your Responsibilities

Skills and Qualifications
  • 5+ years of direct administrative and corporate secretarial support experience working with senior executives and Board members.
  • Post-secondary degree, diploma, or certificate in Office Administration or an equivalent field.
  • Advanced Microsoft Office skills, including Word, Excel, PowerPoint, and related productivity tools.
  • Expert written and verbal communication skills, with French-English bilingualism considered an asset.
  • Exceptional organization, attention to detail, minute-taking, proofreading, and prioritization skills.
  • Strong judgement, discretion, resourcefulness, and demonstrated ability to handle confidential information.
  • Proven ability to build trusted relationships, meet demanding deadlines, and adapt quickly in a fast-paced environment.
