Job summary

Altis Technology is seeking a detail-oriented Administrative Coordinator on a 6-month contract in Ottawa, ON. You will serve as the main contact for technical committee members, coordinate meetings and travel, and maintain records across multiple systems.

Responsibilities include preparing materials, distributing ballots, processing travel claims, and supporting quality management with process improvements. Eligible for Reliability Clearance and bilingual assets are considered a strong asset.

Qualifications

  • Recent graduate or 1–3 years of administrative/coordination experience.
  • Ability to manage multiple stakeholders and priorities with high attention to detail.
  • Strong customer service experience across relevant sectors.
  • Experience preparing correspondence, reports, presentations, and scheduling.
  • Proficient with Microsoft Office and Adobe Acrobat.
  • Excellent written and verbal communication; professional relationship building.
  • Eligibility to obtain Reliability Security Clearance.

Location: Ottawa, ON, Hybrid (1 day per week on-site)

Your Responsibilities
  • You’ll serve as the primary administrative contact for technical committee members, responding to inquiries and providing timely support.

  • You’ll maintain accurate records, committee documentation, databases, and reporting information across multiple systems.
  • You’ll prepare correspondence, meeting materials, reports, and distribute committee ballots and technical documentation.
  • You’ll process travel claims, funding applications, financial tracking, and other administrative transactions with a high level of accuracy.
  • You’ll support quality management initiatives by maintaining documentation and recommending process improvements that enhance operational efficiency.
Skills and Qualifications
  • Recent graduate or 1 to 3 years of progressive administrative or coordination experience in a fast-paced environment.
  • Experience supporting multiple stakeholders while managing competing priorities with exceptional attention to detail.
  • Strong customer service skills, ideally gained in industries such as real estate, insurance, healthcare, professional services, or volunteer coordination.
  • Experience preparing correspondence, reports, presentations, records management, scheduling meetings, travel coordination, and expense administration.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and electronic collaboration tools.
  • Excellent written and verbal communication skills with the ability to build positive relationships and provide professional support.
  • Eligibility to obtain Reliability Security Clearance prior to employment.
