Job summary

National Bank of Canada is seeking an Executive Assistant to partner with a Vice President and their teams in Toronto. You will orchestrate complex calendars, prepare materials, and coordinate travel while ensuring meticulous administrative oversight.

You will support meetings, manage budgets and expenses, and act as a trusted liaison with internal and external partners, contributing to major events and strategic initiatives with discretion and professionalism.

Qualifications

  • 3+ years of experience in an Executive Assistant or senior administrative role
  • Ability to manage high-volume, high-complexity priorities with autonomy
  • Strong proficiency with Microsoft 365 tools (Outlook, Excel, PowerPoint, Teams)
  • Excellent organizational, communication, and prioritization skills
  • Strong discretion, judgment, and professionalism
  • Proven ability to build relationships and collaborate effectively

Job description

A career as an Executive Assistant within the Specialized Groups team at National Bank means acting as a key partner to a Vice President and their teams. In this role, you can make a positive impact through your organizational skills, attention to detail, and expertise in administrative management.

Your role
  • Proactively manage and optimize complex executive calendars, aligning priorities across multiple stakeholders.
  • Support leadership meetings, and committees, including the preparation of agendas, presentations, business communications, meeting documentation, and follow-up actions to ensure seamless execution and effective stakeholder engagement.
  • Coordinate business travel and key logistics, ensuring a seamless experience.
  • Manage expense reporting, approvals, invoices, and budget tracking while ensuring accurate financial records, compliant administrative processes, and well-organized documentation.
  • Act as a key liaison between the senior leaders and internal/external partners, fostering strong collaboration.
  • Coordinate onboarding, departures, and internal requests (IT access, tools, reporting), while handling confidential information with discretion.
  • Support the planning and execution of major events, client activities, and strategic initiatives.

Prerequisites
  • Completed post-secondary education and 3+ years of experience in an Executive Assistant or senior administrative role
  • Ability to manage high-volume, high-complexity priorities with autonomy
  • Strong proficiency with Microsoft 365 tools (Outlook, Excel, PowerPoint, Teams)
  • Excellent organizational, communication, and prioritization skills
  • Strong sense of discretion, judgment, and professionalism
  • Proven ability to build relationships and collaborate effectively

Languages: French, English

Reason to require this language: you will need to work closely with our colleagues outside Quebec.
