Job Description

The Executive Assistant provides daily administrative support to the Managing Director, Head of Assurance & Advisory, and senior team members. Responsibilities include managing calendars, meetings, expenses, events, presentations, travel, correspondence, and departmental initiatives.

Role-specific Responsibilities:

  • Provide administrative support to the Head of Assurance & Advisory and the team.
  • Arrange complex global travel and itineraries for support professionals traveling internationally.
  • Manage calendars and coordinate meeting bookings across departments.
  • Organize and oversee department and group meetings and events.
  • Support onboarding of new staff members.
  • Assist with managing relationships with law firms.
  • Help prepare and administer departmental budgets.
  • Collaborate with external partners, assistants, vendors, and stakeholders to schedule meetings and events.
  • Work with other executive assistants and teams to improve efficiency and support departmental needs.
  • Manage expense reimbursement processes.
  • Ensure team members are prepared for meetings and follow up on action items.
  • Represent CPP Investments professionally internally and externally, acting as an ambassador for the team.
  • Handle sensitive and confidential information appropriately.
  • Work cross-functionally with other teams and departments.
  • Manage staff requests, timelines, and deliverables effectively.
Qualifications
  • College diploma or undergraduate degree required.
  • 5-10+ years of experience in a fast-paced, professional environment.
  • Experience supporting multiple professionals and managing competing priorities.
  • Proficiency in complex calendar management, meeting planning, travel arrangements, and expense processes.
  • Knowledge of MS Office suite and willingness to learn new applications.
  • Experience with operating requests, approvals, and workflow tools.
  • Motivated, eager to learn, adaptable, calm under pressure, and professional.
  • Willing to work flexible hours as needed.
  • Strong attention to detail, highly organized, and able to prioritize and multitask.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to perform under pressure and meet deadlines.
  • Personable, professional, and able to interact effectively at all levels.
  • Capable of working independently and in team environments.
