What you'll be doing
The Executive Assistant will support 3-4 Vice-Presidents, Global Operational Risk Management roles. Responsibilities include performing administrative activities such as calendar/meeting management, travel coordination, expense management, meeting agendas/minutes, preparing reports/presentations, coordinating team events, etc.

How you’ll succeed
Strategic calendar management - Anticipate the needs of each executive by organizing a seamless schedule with no conflicts, prioritize meetings with key stakeholders and identify delegates where required, and build in preparation time for critical discussions/deliverables. Coordinate agendas, and send meeting invitations and agendas to attendees, book meeting rooms and arrange for IT resources and refreshments (where required) in support of a smooth and efficient meeting facilitation.
Travel arrangement & expense reporting - Arrange travel and maintain travel expense account including expense submissions on behalf of the Executives. Monitor and track all department invoices and expenses including contracts; process expense reports/invoices and update financial reports when required.
Professional support – Act as the first point of contact, draft correspondence, manage emails/requests, and ensure urgent matters are flagged for attention. Prepare reports and/or presentations of a confidential nature ensuring timely deliver. Coordinate leadership/team meetings including preparing and sending out invites/agendas/materials, taking minutes and monitoring action items. Handle sensitive information with professionalism and ensure trust/security in every interaction.
Administrative duties - Provide administrative support such as; (a) assist with on/off boarding for new and departing employees including processing requests for technology requirements, corporate cards and expense profiles, (b) managing team/departmental social events including coordinating vendors/caterers, and (c) Act as a Workday delegate to approve HR-related transactions (e.g. vacation requests).
Who you are
You can demonstrate at least 3-5 years of experience as an Executive Assistant supporting senior leaders in a highly professional, confidential, and fast-paced environment. In addition, you’re a strong communicator with excellent verbal and written communications and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion. It's an asset if you are digitally proficient and have a strong command of MS Office suite including Word, Excel, PowerPoint, and Outlook.
