Job summary

Gorman Bros. Lumber Ltd. in West Kelowna, BC, is seeking an Executive Assistant to support the CEO and Executive Team.

Based at the West Kelowna Division, the role involves managing priorities, coordinating communications, and maintaining confidentiality. Qualifications

  • Diploma or post-secondary education in Business Administration, Office Administration, or a related field required.
  • Minimum five years of experience supporting senior executives or executive leadership teams.
  • Experience in the forestry, manufacturing, or industrial sector is preferred.
  • Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, Loop and CoPilot).
  • Exceptional written and verbal communication skills.

Responsibilities

  • Manage executive calendars, schedules, and priorities.
  • Coordinate meetings, including agendas, meeting materials, minutes, and follow-up actions.
  • Prepare correspondence, reports, presentations, and other documents as requested.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Track and manage payment of invoices related to the activities of the Executive Team.
  • Accurately organize executive travel, accommodations, itineraries, and related logistics.
  • Process expense reports, invoices, and other administrative documentation.
  • Maintain organized filing systems, records, and executive documentation.
  • Track action items, deadlines, and key deliverables to support executive priorities.
  • Coordinate executive events, leadership meetings, and special functions.
  • Provide administrative support for corporate initiatives and day-to-day executive operations.
  • Monitor action items, deadlines, and follow up on key deliverables.
  • Accurately organize Board of Directors meetings, including travel, accommodations, meals, meeting logistics, and communications.
  • Maintain Board of Directors Microsoft Teams site, including role management, structure and document management.
  • Support Board level communications from the Executive Team as necessary.
  • Ensuring Board level documents are consistently formatted and free of grammatical and spelling errors.

We're currently seeking an Executive Assistant to join our team. This role is based at our West Kelowna Division.
Reporting to the Chief Executive Officer, you will act as a key partner to the Executive Team, managing executive
priorities, coordinating communications, and supporting strategic initiatives while maintaining confidentiality. If

RESPONSIBILITIES:
1. Executive Support
  • Manage executive calendars, schedules, and priorities.
  • Coordinate meetings, including agendas, meeting materials, minutes, and follow-up actions.

2. Organization & Coordination
  • Accurately organize executive travel, accommodations, itineraries, and related logistics.

  • Ensuring Board level documents are consistently formatted and free of grammatical and spelling

QUALIFICATIONS:
  • Diploma or post-secondary education in Business Administration, Office Administration, or a related field
    required.
  • Minimum five years of experience supporting senior executives or executive leadership teams.

SALARY RANGE:

We offer a competitive compensation package based on your skills and experience. The expected base salary range for this position is $60,000 - 73,000 per year.
