A leading outsourcing company seeks a proactive Executive Assistant to support administrative and client-related tasks across various companies. The role requires excellent communication skills, organizational abilities, and familiarity with CRM tools like Salesforce. The ideal candidate will have 2-4 years of experience in a similar capacity, along with a stable work-from-home setup.
Role Overview:
We will provide you with a proactive Executive Assistant who can support you in both administrative and client/vendor-facing tasks across your companies. This EA will focus primarily on Restoration Supply Network and will be trained to handle overflow from related ventures.
Key Responsibilities:
● Calendar management and meeting coordination
● Email management and follow-ups
● CRM updates and pipeline tracking
● Reviewing orders and inputting into internal systems
● Assisting with vendor and client onboarding communications
● Coordinating with national brands and franchisees (e.g., ServiceMaster, Servpro)
● Internal task tracking using platforms such as Cascade, Supply Pro, and eventually Salesforce ("Slam")
● Light reporting and documentation tasks
Qualifications:
● Minimum 2-4 years proven experience as an Executive Assistant to founders, C-level executives, or business owners
● Exceptional verbal and written communication skills in English
● Demonstrated ability to manage time-sensitive and high-priority tasks
● Familiarity with tools like Salesforce, Cascade, Supply Pro, or similar CRMs
● Experience with basic social media response handling
● Strong organizational and multitasking skills
● Proactive, reliable, and resourceful with excellent problem-solving abilities
● Work-from-home ready with a stable internet connection and backup systems
● Comfortable supporting multiple projects or businesses simultaneously
