The Executive Assistant is responsible for providing senior-level administrative support.

This position is full-time, Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:00 am - 5:00 pm. Employees are required to work up to 3 days per week in the office.

We offer 4 weeks of on-the-job training. The hours of training will be aligned with your schedule.

If you are within commutable distance to the office at 10711 Cambie Rd. #130, Richmond, BC V6X 3G5, you will have the flexibility to work from home and the office in this hybrid role* as you take on some tough challenges.

Primary Responsibilities

  • Create / maintain calendars / coordinate meetings avoiding scheduling conflicts
  • Create / prepare meeting materials and ensure distribution to appropriate individuals in a timely manner
  • Schedule, coordinate, and/or set up resources and technology (e.g., conference rooms; food; Telepresence) needed for meetings/events, including Executive and / or Board level participants
  • Make travel arrangements (e.g., airline; hotel; ground transportation; office space assignment) for meeting attendees (e.g., external customers; executives) and assist with expense reporting
  • Host, coordinate, and / or facilitate meetings/external events as needed (e.g., introduce speakers; manage PowerPoint deck; ensure time schedules are adhered to; assist with technology; take notes)
  • Ensure meeting participants (e.g., external customers; executives) have appropriate access to facilities and systems (e.g., issue security badges; request building access; internet access)
  • Plan and organize logistics of large and/or offsite events, using internal resources as needed

Required Qualifications

  • High School Diploma / GED
  • Must be 18 years of age OR older
  • 3+ years of experience as an Executive Assistant supporting multiple executives (Attorneys, People Team, Finance)
  • Experience with Microsoft Word (create correspondence and work within templates), Microsoft Excel (data entry, sort / filter, and work within tables) and Microsoft Outlook (email and calendar management)
  • Ability to work up to 3 days per week at 10711 Cambie Rd. #130, Richmond, BC V6X 3G5
  • Ability to travel up to 10% of the time
  • Ability to work between the hours of 8:00 am - 5:00 pm from Monday - Friday

Preferred Qualifications

  • 1+ years of experience in office management
  • Experience in travel planning
  • Experience in scheduling

Telecommuting Requirements

  • Reside within commutable distance to the office at 10711 Cambie Rd. #130, Richmond, BC V6X 3G5
  • Ability to keep all company sensitive documents secure (if applicable)
  • Required to have a dedicated work area established that is separated from other living areas and provides information privacy
  • Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service

  • Communication and stakeholder management skills to support C-level executives
  • Agile and highly flexible with ability to manage multiple priorities with competing deadlines
  • Ability to maintain confidentiality and handle sensitive correspondence

Canada Residents Only: The hourly range for Canada residents is $20.87 - $43.32 per hour. Pay is based on several factors including but not limited to education, work experience, certifications, etc.
