RESPONSIBILITIES

  • Providing an Excellent Experience in Every Interaction with External and Internal Customers is Every Team Member's First Responsibility.
  • Manage email and schedule for Executive Team
  • Screen and Summarize requests for Executive Team, booking appointments, preparing presentationsfor clients,and other related administrative tasks as required.
  • Creating video and written processes for this role and ensuring the same is completed for all other roles within the company.
  • ResearchAI processes for all areas and implement where time savings are provided without sacrificing quality of the client experience.
  • Post job ads and send screening questions and tests
  • New staff on-boarding with Checklists and initial training on culture andsafety.
  • Analyzing new leads, quotes and contracts in our CRM (Customer Relationship Management software - Jobber), broken down by Rep, and summarizing KPIs for Executive Teamanalysis.
  • Ensure showrooms and boardrooms are clean and organized
  • Compile news about industry and events
  • Write and Post Blog posts
  • Proofreadwebsite and add new content
  • Market research on competitors
  • Social media help as needed
  • Assist with bookkeeping as required
  • Meeting Coordination and Summaries provided to those who need them
  • Follow Up with Accountable Parties regarding Outstanding Commitments
  • Proofreading and formatting documents
  • Audit and edit digital files to ensure no unnecessary duplication
  • Maintain Master Contacts List and Organizational Chart
  • Plan and Organize Charity Events
  • Plan and Organize Team Building Activities
  • Plan and Organize Christmas Party
  • Vehicle maintenance tracking for multiple companies
  • Post ads for vehicles for sale for Dealership Business
  • Manage contracts for Vehicle Sales and Rentals for Car Sharing Business
  • Write Briefs and Obtain Quotes for new products or services
  • Personal Errands for Executives as required
  • Restocking Office supplies and stationary and coordinating Couriers as required
  • Administration, tracking and distribution of Monthly Referral Bonus Cheques to referring customers.
  • Administration and distribution of Thank You Cards to be physically mailed to customers at time of invoice as well as at 6 month and annual anniversary dates.
  • Coordinating and attending Safety meetings and other Team meetings and taking notes during these meetings to be filed electronically.
  • Promoting MAXgreen's MAXrewards Referral program to homeowners, and MAXrewards Industry Partner Referral Program to Contractors / Designers / Realtors, etc. at every opportunity.
  • Identifying new ideas for new revenue streams and complementary services to be offered to our customer base.
  • Identifying ideas and implementing systems and routines to improve efficiencies and reduce costs of operating the business.
  • Ongoing improvement of quality, service, and overall value offered to customers, sub-trades, suppliers, employees, and outside consultants.
  • Implementing new policies and procedures as required. If something goes wrong in the business, what can we implement as a routine to ensure it NEVER happens again? If something goes really well, what can we implement as a routine to ensure it ALWAYS happens?
  • Following all established MAXgreen policies and procedures.
  • Ensuring the rest of the MAXgreen team also follows policies and procedures as required.

REQUIREMENTS

  • Attention to Detail is Paramount
  • 5+ Years Experience as Executive Assistant or Office Manager
  • Proficient in Microsoft Office, especially Outlook and Excel
  • Proficient with other Windows Based Operating Systems and Programs
  • Must be able think outside the box to find new solutions and improve processes and efficiencies
  • Ability to work independently with limited supervision
  • Learn and Teachnew systems with limited supervision
  • Excellent organizational, time management and prioritization skills with the ability to juggle multiple time-sensitive demands and meet deadlines

COMPENSATION

  • 45,000 to $50,000 per year, based on experience and performance
  • Extended Health Benefits available after 3 months probation period.
  • 3 Weeks Paid Holidays or Personal Days and Statutory Holidays per Year
  • Future career development and profit sharing potential can be earned.
