Your tasks at a glance

  • You provide high-level administrative support to the executive, including managing schedules, emails, and correspondence.
  • You coordinate meetings, appointments, and travel arrangements (domestic and international).
  • You handle personal tasks such as event planning, and personal errands.
  • You prepare reports, presentations, and documents as needed.
  • You serve as a liaison between the executive and internal/external stakeholders.
  • You manage special projects and ensure deadlines are met.
  • You conduct research and compile data for decision-making purposes.
  • You maintain organization of files, records, and confidential documents.
  • You assist in financial management, including expense tracking and budget coordination.

A clear view of your assets

  • You have proven experience as an Executive or Personal Assistant, preferably supporting senior-level executives.
  • Your experience in a medical environment is considered an asset.
  • Your experience in Ophthalmology & Optometry is considered an asset.
  • You have exceptional organizational and time-management skills.
  • You have strong written and verbal communication skills.
  • You handle multiple tasks with a high level of accuracy and efficiency.
  • You are proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • High level of discretion and professionalism when handling sensitive information.
  • You have strong problem-solving skills and the ability to work independently.
  • Required: You are available to occasionally work outside of standard business hours when necessary.
  • Schedule: You have flexible work availability Monday to Friday (mostly remote & 1 day p/week in clinic).
