Job description

A busy professional in the career coaching industry is seeking a proactive, tech-savvy Virtual Assistant to support day-to-day operations and enhance their digital presence. This is a remote, part-time position offering 20 hours per week, with flexibility to align with the client’s schedule.

Key Responsibilities

Social Media Support

Create and schedule engaging content, primarily for LinkedIn

Edit short-form video clips and podcast recordings using CapCut or similar tools

Interact with followers and connections to drive engagement and visibility

Content & Video Editing

Polish and repurpose video content for various platforms

Perform basic audio leveling and visual clean-up

CRM & Data Reporting

Analyze data from HubSpot and provide actionable reports

Identify trends and recommend improvements

Administrative Support

Manage and respond to emails professionally

Assist with data organization, research, and general admin tasks

Additional Key Responsibilities

  • Email Marketing Support Assist in drafting and scheduling email sequences for sales follow-up and appointment reminders.
  • Testimonial Management Help edit, organize, and upload client testimonials to the website and social channels.
  • Content Planning & Coordination Contribute to blog and video planning for the website, including writing assistance and upload coordination.
  • Digital Workflow Optimization Update automation tools (e.g., Calendly) to improve the client journey and support content integration like welcome videos.
  • Program Development Support Research and assist in outlining group coaching models or other scalable offerings.
  • Outbound Messaging Support Help refine and implement LinkedIn/email outreach messaging for cold leads and networking.
  • Social Media Systemization Build a system or calendar for social media—determining what to post, when to post, and how to maintain consistency.
Required Skills & Tools

Proficient in CapCut or equivalent video editing tools

Experience with HubSpot CRM

Strong written communication and organizational skills

Familiarity with LinkedIn for professional engagement

Comfortable using Google Workspace and Microsoft Office Suite

Self-starter with the ability to work independently and take initiative

Preferred Qualities

Prior experience supporting small business owners or service-based professionals

Detail-oriented and capable of managing multiple priorities
