Job summary

Our client Mier Temporary Staffing in Brampton, ON is seeking an highly organized Executive Assistant to provide executive-level administrative and project coordination support. Experience in government/public affairs environments is preferred.

This 6-month temporary contract may lead to permanent for the right candidate. The role requires managing complex calendars, travel, meetings, and confidential communications, with a focus on cross-functional project coordination and stakeholder

Qualifications

  • Bachelor's degree in Business Administration, Public Policy, Political Science, International Relations, Communications, Project Management, or related field.
  • Minimum of three years of Executive Assistant/Executive Support/Project Coordinator experience.
  • Experience supporting senior executives, elected officials, diplomats, government leaders, or public sector executives is strongly preferred.
  • Experience in government relations, public policy, diplomacy, or public sector organizations is highly preferred.
  • Project coordination or project management experience is a strong asset.
  • Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Exceptional organizational, planning, and time-management skills.
  • Excellent verbal and written communication abilities.
  • Strong critical-thinking, problem-solving, and decision-making skills.
  • Ability to manage multiple priorities while meeting tight deadlines.
  • Excellent interpersonal, stakeholder management, and relationship-building skills.
  • Confidentiality and sound judgment; highly adaptable and proactive in a fast-paced environment.
  • Additional language proficiency is considered an asset.

Responsibilities

  • Manage complex executive calendars, meetings, and travel arrangements (domestic and international).
  • Prepare briefings, reports, presentations, and meeting materials.
  • Screen and prioritize communications including emails and official correspondence.
  • Coordinate internal and external meetings and documentation.
  • Act as liaison between senior leadership and government/partners.
  • Track action items, agendas, minutes, and project status.

Our client in Brampton, ON is seeking a highly organized and proactive Executive Assistant to provide executive-level administrative and project coordination support. This role is best suited for candidates with experience supporting senior leaders within government, public policy, diplomatic, political, or public affairs environments.

Key Responsibilities
Executive Support:
  • Manage complex executive calendars, meetings, appointments, and domestic and international travel arrangements.
  • Prepare daily schedules, executive briefings, reports, presentations, correspondence, and meeting materials.
  • Screen, prioritize, and manage incoming and outgoing communications, including emails, phone calls, and official correspondence.
  • Coordinate internal and external meetings, ensuring appropriate scheduling, preparation, follow-up, and documentation.
  • Act as the primary liaison between senior leadership and key stakeholders, including government representatives, clients, vendors, business partners, and internal teams.
  • Prepare agendas, meeting minutes, action item trackers, reports, presentations, and other executive documents.
  • Handle confidential and sensitive information with a high degree of discretion and professionalism.
Project Coordination:
  • Assist in planning, coordinating, and monitoring projects from initiation through completion.
  • Organize project meetings and facilitate communication among stakeholders.
  • Support the development and maintenance of project plans, timelines, milestones, and deliverables.
  • Track project progress, identify risks or delays, and support issue resolution.
  • Monitor project budgets, expenditures, resource allocation, and action items.
  • Maintain accurate project documentation, status reports, and project records.
  • Collaborate with cross-functional teams to ensure strategic initiatives are completed successfully and on schedule.
Additional Responsibilities:
  • Support process improvement and operational efficiency initiatives.
  • Travel domestically and internationally, as required, to support executive priorities.
  • Provide support outside regular business hours when business needs require.
  • Perform additional executive support, administrative, and project coordination duties as assigned.

  • Project coordination or project management experience is considered a strong asset.

  • Exceptional organizational, planning, and time-management skills.
  • Excellent verbal and written communication abilities.
  • Strong critical-thinking, problem-solving, and decision-making skills.
