EVENTS COORDINATOR

Position Overview

Reporting to the Manager, Conferences & Events (MCE), the Events Coordinator is responsible for planning, organizing, and executing a variety of community-building events, including dinners and receptions, and supporting professional development programs. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple projects with professionalism.

This position requires providing exceptional customer service to CBABC’s members, volunteers, and the legal community. The Events Coordinator works closely with the Member Services, Marketing & Communication, and Finance teams.

Key Responsibilities
Events Management
  • Lead all aspects of event preparation, implementation, and reporting, including creating event briefs, workback plans, run-of-show, speaking notes, registration tracking, post-event evaluations, status reports, and financial reconciliation.
  • Research and analyze participant and volunteer needs to advise on event plans.
  • Coordinate with volunteers, vendors, venues, speakers, and sponsors to ensure effective logistics within budget.
  • Ensure compliance with insurance, legal, health, and safety obligations, providing solutions to mitigate risks.
  • Arrange catering, venue setup, technical/AV setup, and accessibility accommodations.
  • Manage on-site event execution from setup to teardown.
  • Liaise with external organizations for co-hosted or supported events.
Financial Management
  • Develop detailed event budgets, including surplus, deficit, or break-even targets, for approval.
  • Negotiate contracts with suppliers and venues.
  • Process expenses and revenue, track forecasts, and report variances.
  • Build business relationships with vendors for cost-effective services.
Logistics Execution
  • Set up event registration systems and manage participant registration.
  • Distribute event notices, materials, and surveys.
  • Coordinate speaker and guest travel and accommodations.
  • Prepare event materials, nametags, signage, and arrange gifts or donations as applicable.
Member Services Support
  • Assist the MCE with conferences and respond to member inquiries about events, membership, and issues.
  • Collaborate with other departments on specific events.
Experience and Qualifications
  • At least 2 years of experience in event planning or coordination, preferably within a professional association or legal environment.
  • Certificate in Event Management or related experience.
  • Good understanding of office administration, accounting, and data management.
  • Proficiency in MS Office, Adobe, and registration/database software.
  • Knowledge of HTML coding is an asset.
  • Experience with audio-visual equipment and troubleshooting.
  • Excellent customer service and communication skills.
  • Strong organizational and project management skills with attention to detail.
  • Ability to manage multiple projects under tight deadlines.
  • Ability to work independently and collaboratively, adaptable, and resilient under pressure.

Salary Range: $49,000 - $59,000
