Job Title: Events Assistant

Job Description: Permanent, Full-Time Position

Hours: 8:30 am to 4:30 pm / Monday to Friday

Pay Grade: G ($58,094 to $62,134 per annum)

Emily Carr University of Art + Design is a distinguished institution dedicated to education and research in the creative sector. Established in 1925, it is the only specialized, accredited, public post-secondary university in British Columbia focused solely on this field. The university emphasizes interdisciplinary learning, research, critical theory, and studio practice, fostering an environment that supports the next generation of creative and cultural leaders.

The Events Assistant supports the organization and management of university-wide events. The role requires flexibility to work occasional evenings, weekends, and extra hours as needed.

Typical Duties:
  • Assist the Events Lead in organizing university-wide events for various internal and external stakeholders.
  • Research sponsorship opportunities, negotiate, and finalize agreements under supervision.
  • Collaborate to improve event processes and support policies.
  • Manage Eventbrite for invitations, reminders, and RSVPs.
  • Use Mailchimp for newsletters and invitations.
  • Research and coordinate venues, entertainment, caterers, and event materials.
  • Create event floor and table plans.
  • Ensure compliance with permits, safety, and security policies.
  • Handle purchase requisitions, payments, invoicing, and internal ledger requests.
  • Assist with bid management, budget reviews, and maintaining event records.
  • Maintain the university events calendar.
  • Perform additional duties as required.
Required Qualifications:
  • Two-year certificate or diploma in business, communications, event support, or related fields.
  • Minimum two years' experience in event planning, sponsor development, and donor relations.
  • Equivalent education and experience considered.
  • Experience with social media and communication tools is advantageous.
  • Proficiency in Eventbrite, Microsoft Office, social media platforms, and Raiser’s Edge or similar database.
  • Effective communication and interpersonal skills with diverse stakeholders.
  • Knowledge of event workflows and management processes.
  • Ability to work independently and in teams, in high-pressure environments, including evenings and weekends.
  • Strong organizational skills to manage multiple projects and details.
