Description

Library Systems & Services is excited to announce an opening for a full-time Events Assistant at the Edward Dean Museum in Cherry Valley, CA.

This position plays a vital role in assisting the team with the efficient and effective execution of events at the Edward Dean Museum. Under the direct supervision of the Event Operations Manager, this role involves client communication, logistics, coordination, and on-site event support to ensure a seamless experience for clients. The ideal candidate is organized, energetic, and thrives in a fast-paced, hands-on environment.

Employment Type: Non-Exempt (Hourly), Full-Time

Hours per week: 40

Hourly Pay Rate: $16.50

Location: On-site - Edward Dean Museum (Cherry Valley, CA)

Key Responsibilities:

  1. Assist with the planning and execution of events, ensuring each surpasses expectations.
  2. Assist with administrative tasks related to booking EDM events, including documenting details, preparing paperwork, and coordinating supplies.
  3. Collaborate with the Event Operations Manager to align event objectives with the museum's mission and goals.
  4. Document all event details and prepare necessary paperwork.
  5. Coordinate logistics, timelines, and vendor arrangements, and communicate event specifics to the Events and Operations Manager.
  6. Initiate contact with clients after booking and cultivate relationships through communication.
  7. Meet with clients planning special events, documenting requirements.
  8. Create engaging content for social media platforms, showcasing events and venue features.
  9. Assist with the venue's online presence, respond to inquiries, and engage with potential clients.
  10. Help clients create event timelines and floor plans.
  11. Conduct venue tours for prospective clients.
  12. Address customer complaints proactively and report them.
  13. Ensure adherence to county regulations and event contracts.

Requirements:

  1. 3+ years of experience in event planning, catering, or customer-facing roles.
  2. Strong organizational and multitasking skills.
  3. Excellent interpersonal and communication skills.
  4. Detail-oriented with high standards of quality.
  5. Flexible scheduling, including evenings, weekends, and holidays.
  6. Reliable attendance.
  7. Ability to work collaboratively in a team.

Physical Requirements:
