Job summary

Human Appeal Canada is seeking an Events and Promotions Coordinator to support planning, promotion, and execution of fundraising events across Canada. Qualifications

  • Minimum of 3 years of experience in event planning.

Position Overview

The Events and Promotions Coordinator will support the planning, promotion, advertising, and execution of events and activities led by the Fund Development team across Canada. Reporting to the Director of Fund Development and working closely with the Events Lead, this role will coordinate with Marketing, Events, sponsors, vendors, influencers, community partners, and internal teams to help deliver creative, well-promoted, and fundraising-focused events. The Coordinator will play an integral role in event planning, social media promotion, influencer engagement, sponsor acquisition, and the development of creative fundraising activities that support Human Appeal Canada’s projects around the world.

The expected salary range for this role is 61,000 - $75,000 and this is a new role.

Main Responsibilities
Event Planning, Promotion, and Execution
  • Support the planning, coordination, promotion, and execution of Fund Development events, campaigns, community activations, and fundraising activities across Canada.
  • Assist the Events Lead with event logistics, timelines, run sheets, venue coordination, vendor communication, volunteer support, and on-site execution.
  • Work with Marketing and Events teams to develop creative promotional plans, advertising concepts, event messaging, and digital assets that increase awareness, attendance, engagement, and fundraising results.
  • Be an active contributor in the creative and planning process for events, including themes, activities, audience engagement, fundraising moments, promotional opportunities, and sponsor visibility.
  • Maintain awareness of events, community gatherings, conferences, festivals, and partnership opportunities across Canada where Human Appeal Canada can attend, participate, promote campaigns, or raise funds.
  • Develop creative activities and promotional ideas that help raise funds for Human Appeal Canada’s humanitarian and development projects around the world.
Social Media, Influencer, and Marketing Coordination
  • Support social media marketing plans for events, campaigns, community activations, and fundraising initiatives in partnership with the Marketing team.
  • Coordinate content calendars, promotional timelines, influencer posting schedules, event announcements, reminders, and post-event storytelling.
  • Utilize existing social media influencers and identify, acquire, and coordinate new influencers who can support Human Appeal Canada’s events, campaigns, and fundraising priorities.
  • Bring creative marketing ideas that strengthen event visibility, improve audience engagement, and help convert awareness into donations, sponsorships, registrations, or community participation.
Sponsorship, Fundraising, and Partner Engagement
  • Work with sponsors, vendors, donors, community partners, and local businesses to support event delivery and offset event costs.
  • Identify, approach, and acquire new sponsors who can contribute financially or through in-kind support for events, campaigns, and community activations.
  • Leverage sales and fundraising experience to build relationships, secure commitments, support donor engagement, and contribute to event revenue goals.
  • Collaborate with internal teams to ensure sponsor recognition, fundraising messaging, pledge moments, donation opportunities, and partner benefits are planned and delivered effectively.
Project Management and Cross-Functional Coordination
  • Use project management tools and systems to track event plans, promotional tasks, timelines, deliverables, budgets, approvals, dependencies, and follow-ups.
  • Coordinate across Fund Development, Marketing, Events, Finance, Donor Care, Programs, volunteers, sponsors, vendors, influencers, and external partners to ensure event plans are delivered on schedule.
  • Maintain clear task ownership, timelines, briefing documents, promotional plans, checklists, and reporting structures for events and campaigns.
  • Identify planning gaps, risks, delays, and opportunities early, and recommend practical solutions that improve event quality, fundraising outcomes, and audience experience.
Administrative and Event Support
  • Support event administration, including venue research, booking coordination, vendor communication, travel arrangements, materials preparation, supplies, schedules, and event documentation.
  • Prepare agendas, meeting notes, action trackers, event briefs, promotion plans, sponsor documents, influencer lists, and post-event summaries.
  • Provide on-site support during events, including registration, guest experience, sponsor coordination, influencer support, volunteer direction, promotional activities, and fundraising moments.
  • Ensure event materials, signage, digital promotions, sponsor assets, donation tools, registration lists, and run-of-show documents are prepared accurately and on time.
  • Support evening, weekend, seasonal, Ramadan, Qurbani, emergency appeal, and community events as required.
Reporting, Learning, and Continuous Improvement
  • Track event performance, promotional reach, influencer activity, sponsor commitments, attendance, engagement, fundraising results, and lessons learned.
  • Prepare event reports, campaign updates, sponsorship summaries, promotional recaps, and recommendations for the Events Lead and Director of Fund Development.
  • Use event data, audience feedback, team input, and fundraising results to recommend improvements to future events, promotions, sponsorship strategies, and influencer campaigns.
  • Maintain organized records of event plans, sponsor contacts, influencer relationships, promotional assets, task trackers, and post-event outcomes.
  • Stay informed on event trends, community opportunities, social media trends, influencer marketing practices, and creative fundraising ideas relevant to the Canadian market.
  • Contribute to a culture of creativity, accountability, collaboration, donor trust, and effective humanitarian impact.
Working Conditions
  • Role is based in Mississauga, Ontario, with travel within Canada required for events, community activations, sponsor meetings, influencer coordination, partner meetings, and organizational activities.
  • Regular interaction with Fund Development staff, Marketing, Events, Finance, Donor Care, Programs, sponsors, vendors, influencers, volunteers, donors, and external stakeholders.
  • Evening and weekend work will be required during major fundraising campaigns, Ramadan, Qurbani, emergency appeals, community events, sponsor activations, and peak seasonal periods.
  • Minimum of 3 years of experience in event planning, event coordination, event promotion, or event execution.
  • Minimum of 3 years of experience in social media marketing, digital promotion, content coordination, influencer engagement, or online campaign support.
  • Minimum of 2 years of experience in sales, fundraising, sponsorship acquisition, donor engagement, business development, or revenue-generating relationship management.

Creative mindset with the ability to turn ideas into practical event activations, promotional campaigns, community partnerships, and fundraising opportunities.

Strong relationship-building skills with sponsors, influencers, community leaders, vendors, donors, volunteers, and internal stakeholders.

Knowledge of Canadian charity fundraising cycles, community engagement, social media trends, influencer marketing, sponsorship packages, and event promotion practices.

Commitment to Human Appeal Canada’s humanitarian mission and values.

Ability and willingness to travel within Canada and work evenings or weekends during campaigns, events, emergencies, Ramadan, Qurbani, and peak seasonal periods.

3-5 years demonstrated project management experience, including coordinating timelines, tasks, stakeholders, deliverables, and event-related deadlines.
