Salary: $18.00/hour + 4% vacation pay paid each semi-monthly pay period

About Safe Haven Foundation

Safe Haven Foundation of Canada is a Calgary-based, not-for-profit preventing homelessness among girls and young women by addressing its root causes. For nearly 30 years, our relationship-based housing and life-skills programs have helped youth move from crisis to confidence through a unique model of home, heart and mind support. We combine stable housing with wellness, education, and employment coaching to build lasting independence and prevent intergenerational cycles of instability.

Position Overview

As part of Safe Haven’s team, the Administrative & Events Assistant will support the day-to-day administrative operations of the organization while assisting with events, donor engagement activities, and community programming during our busiest season. Working closely with the Operations Manager and Program Director, this role will help ensure organizational systems remain organized and efficient while contributing to the successful delivery of fundraising events, volunteer activities, and community initiatives.

This position offers hands‑on experience in nonprofit operations, event coordination, administration, and community engagement, making it ideal for someone looking to build a broad foundation in the charitable sector.

This position has been made available through the Art of Work program. In addition to the placement, participants are required to take part in weekly 90‑minute online training workshops focused on mental health, development goals, stress management, finance and taxes, interview skills, etc. on Thursday evenings with peers from across Canada. These sessions will help build valuable skills and connections, and the time spent counts toward their program hours.

Key Responsibilities

1. Administrative & Operational Support

  • Provide administrative support including scheduling, filing, document preparation, data entry, and record management.
  • Maintain accurate records within organizational databases and CRM systems.
  • Assist with preparing reports, spreadsheets, presentations, and meeting materials.
  • Support internal tracking of donations, sponsorships, grants, and program metrics.
  • Assist with maintaining organized electronic and physical filing systems.

2. Event Coordination and Support

  • Assist with the planning and execution of fundraising events, community gatherings, and donor engagement activities.
  • Support event logistics including vendor coordination, supply management, registration, guest communications, and event setup and teardown.
  • Help coordinate volunteers for events and community activities.
  • Assist with auction procurement, raffle administration, and in‑kind donation tracking.

3. Program Coordination and Support

  • Assist with the planning and coordination of programming workshops and activities including facilitator outreach, supply sourcing, meal preparation, and vendor coordination.
  • Assist with delivery of workshops including presentation and hosting assistance, content capture and other miscellaneous duties.

4. Campaign and Communications Support

  • Assist with creating and scheduling social media content and email communications.
  • Help collect stories, photos, testimonials, and impact information for organizational communications.
  • Support the creation of promotional materials, event signage, and digital resources.
  • Assist with updating website and marketing content as needed.
Qualifications & Skills
  • Eligibility to participate in the Art of Work program includes:
    • between 15 and 30 years of age;
    • a Canadian citizen, permanent resident, or protected person as defined by the Immigration and Refugee Protection Act;
    • legally entitled to work in Canada;
    • legally entitled to work according to the relevant provincial/territorial legislation and regulations.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Comfortable working with a variety of people, including volunteers, donors, community partners, and team members.
  • Proficient with using technology, experience with Microsoft Office (Word, Excel, Outlook) and Canva, or willing to learn.
  • Experience using social media platforms for personal, volunteer, school, or professional purposes is considered an asset.
  • Experience with event planning, customer service, volunteering, school leadership activities, or community involvement is considered an asset.
  • Comfortable learning new technology and database systems.
  • Able to manage multiple tasks, prioritize responsibilities, and meet deadlines.
  • Positive, professional, and collaborative attitude.
  • Demonstrated initiative and willingness to learn in a fast‑paced environment.
  • Passion for community impact and an interest in supporting young women and youth experiencing housing instability.

No prior nonprofit, fundraising, grant writing, or CRM experience is required. Training and mentorship will be provided throughout the placement.
