Overview
Prepares all event documentation and coordinates with sales, departments, and customers to ensure consistent, high-level service throughout pre-event, event, and post-event phases of hotel events; primarily handles events of average complexity.
Ensures seamless turnover of hotel events from sales to service back to sales. Recognizes opportunities to maximize revenue through up-selling and offering enhancements to create outstanding events.
Responsibilities
Operations
- Coordinates and communicates verbally and in writing with customers (internal and external) regarding event details. Follows up with customers post-event.
- Acts as liaison between field sales personnel and customers throughout the event process, maintaining presence and availability to solve problems or suggest alternatives.
- Oversees customer experiences from file turnover through post-event and back to sales.
- Proactively identifies operational challenges and works with hotel staff and customers to resolve or develop alternatives.
- Leads pre- and post-event meetings for assigned groups.
- Facilitates meetings such as Banquet Event Order review and block review.
- Manages group room blocks and meeting space.
- Greets customers during the event phase and hands off to the Event Operations team for execution.
- Adheres to all standards, policies, and procedures.
- Incorporates current trends in event management and design.
Guest Satisfaction
- Sets a positive example for guest relations.
- Interacts with guests to obtain feedback and responds effectively to problems and complaints.
- Empowers associates to provide excellent service, ensuring they understand expectations.
- Provides feedback on service behaviors and strives for continuous improvement.
- Conducts pre- and post-event meetings to review group needs and feedback.
- Solicits departmental feedback to enhance the Event Planner’s experience.
- Reviews guest comments and satisfaction results, developing corrective actions as needed.
- Focuses on guest satisfaction in departmental meetings and ongoing improvement efforts.
Sales and Revenue Management
- Effectively upsells products and services throughout the event process.
- Participates in site inspections and assists sales when necessary.
- Manages customer budgets to maximize revenue and meet needs.
- Forecasts group room nights and revenue accurately.
Other
- Ensures safety for self and others, following all health and safety requirements.
- Performs additional duties as needed to meet business needs.
Qualifications
- High School diploma or equivalent; college degree preferred.
- Prior experience required.
- Two to five years of relevant on-the-job experience.
- Proficient in Microsoft Office and graphics applications.
- Supervisory or management training preferred.
- Effective verbal communication skills in English, with good grammar and a friendly tone.
- Knowledge of proper serving etiquette.
- Strong sales skills for up-selling.
- Knowledge of menu planning, food presentation, and banquet operations.
- Ability to manage guest room and meeting space inventories.
- Broad understanding of facility management.
- Strong customer relationship skills.
- Knowledge of hotel operations, event technology, contract management, and legalities.
- Financial management skills, including budgeting and forecasting.
- Excellent communication, problem-solving, organization, and decision-making skills.
- Ability to influence and present effectively.
- Knowledge of regulations and safety standards.
This position requires a five-day workweek, with additional hours as needed for special events at River Cree Resort & Casino.
