Job summary

Carollo Engineers in Burnaby, BC, is seeking an experienced Office Manager to lead day-to-day office operations, coordinate hiring, budgeting, and facilities support.

You will partner with accounting, HR, legal, IT, and engineering teams to ensure smooth workflows, oversee staff schedules, and foster a productive, compliant environment. The role requires 5+ years in office administration and strong MS Word/Excel/Acrobat skills.

Qualifications

  • High school diploma or equivalent; some college business courses are a plus.
  • Minimum 5 years of professional experience in office administration.
  • Strong verbal and written communication skills.
  • Excellent organizational and administrative skills.
  • Ability to type 65 wpm.
  • Ability to work without direct supervision.
  • High level of critical thinking and judgment.
  • Experience handling confidential/sensitive issues.
  • Ability to juggle multiple priorities and deadlines.
  • Initiative and proactive attitude.
  • Proficiency with Word, Excel and Acrobat.
  • Windows environment experience including file management and printing.

Responsibilities

  • Supervises all day-to-day office operations.
  • Conducts New Hire Orientations for engineers and staff.
  • Interfaces with Accounting, HR, Legal, Facilities, IT.
  • Coordinates final termination of employees to protect IP.
  • Reconciles quarterly office budget and annual facilities budget.
  • Conducts office safety inspections.
  • Evaluates workstation ergonomics and coordinates with facilities/HR.
  • Works with building management to resolve facilities issues.
  • Maintains conference room setup/cleanup for meetings.
  • Orders office supplies.
  • Coordinates petty cash and accounting issues with the accounting group.
  • Coordinates with engineers and proposal managers.
  • Elicits project management information for workload scheduling.
  • Attends project management meetings.
  • Performs document processing and proposal preparation.
  • Coordinates work distribution with other offices to meet deadlines.
  • Ensures adequate staffing, hardware, and software for timely work.
  • Examines completed work for quality and standards compliance.
  • Troubleshoots and resolves computer/software issues with support from other areas.
  • Recruits and trains office support staff.
  • Assists with performance appraisals for office staff.
  • Leads brown bag seminars on document process training.
  • Provides system training for new engineers and staff.
  • Assists engineers with scheduling tasks.
  • Assist Office Manager with office tasks.
  • Reproduction/document assembly and vendor coordination.
  • Document and file management (physical and electronic).
  • Office events/party planning.
  • Other required office administration duties as assigned.
