Job summary

Air Canada is seeking an Employee Records & Compliance Representative to manage 3rd party requests, employee files, ID cards and Benefits & Pension panels in PS.

The role also handles Employee Privacy inquiries, POA requests, and non-resident tax processes, acting as the liaison between third parties and Air Canada HR while ensuring PIPEDA compliance and data confidentiality.

Qualifications

  • Minimum of college degree with relevant experience.
  • PeopleSoft knowledge and experience an asset.
  • Strong written communication skills in both French and English.
  • Ability to exercise impeccable judgment, confidentiality and discretion.
  • Ability to work under pressure with speed and accuracy and establish priorities.
  • Demonstrated customer-service orientation and diplomacy.

Responsibilities

  • Handle day-to-day 3rd party requests for employee information from agencies, law firms and financial institutions.
  • Liaise with internal stakeholders to review payroll, absence, job descriptions and personal files while ensuring PIPEDA compliance.
  • Manage Power of Attorney (POA) requests and coordinate with HR branch for approval.
  • Serve as liaison between POA Agent and HR Branch for document collection and clarification.
  • Oversee Non-Resident process, validating tax forms and CRA treaty rates.
  • Act as primary contact between third party and Air Canada HR for timely processing of requests.
  • Assist with administrative tasks including employee ID card processing and mail handling.
  • Process pension transactions per SOPs of Benefits Administration system.
  • Participate in process improvement and escalation of processing issues.

The Employee Records & Compliance Representative will be responsible for timely and accurate handling of 3rd Party requests (in relation to Air Canada employees, retirees and former employees), as well as management of employment files, ID cards and the Benefits & Pension panels in PS.

The Employee Records & Compliance Representative will be responsible for timely and accurate handling of Employee Privacy inquiries and the decisioning for Compliance cases such as Power of Attorney and legal disclosures.

Responsibilities
  • Responsible for the day-to-day handling of 3rd Party requests for employee information (3rd Party requestors are mainly but not limited to; Government agencies such as Canada Revenue Agency (CRA), Revenue Québec, Service Canada, CPP and QPP, law firms, financial institutions).
  • Liaise with various internal stakeholders to obtain and/or review employee information such as payroll records, absence reports, job descriptions, personal information, copies of personal files, general pension and benefit information and ensuring the guidelines of the Personal Information Protection and Electronic Documents Act (PIPEDA) are followed.
  • Responsible for the day-to-day handling of Power of Attorney (POA) requests by obtaining and reviewing all required documents prior to submitting to our HR branch for approval.
  • Be the liaison between the POA Agent and the HR Branch in obtaining documents and obtaining further clarification as required.
  • Responsible for the day-to-day handling of the Non-Resident process by communicating with non-resident retirees, validating of tax forms, CRA approval letters and taxation rates, and ensuring all are in accordance with the CRA’s tax treaty rates.
  • Act as primary contact between third party and Air Canada Human Resources and ensure the accurate and timely processing of requests.
  • Assist with administrative tasks, including employee ID card processing and the handling of incoming and outgoing mail.
  • Process pension transactions in accordance with the Standard Operating Procedures (SOP) of the Benefits Administration system
  • Participate with the analysis and implementation of new processes while improving existing procedures.
  • Escalate processing issues with regards to day-to-day processing
Qualifications

  • Strong written communication skills in both French and English
  • Ability to exercise impeccable judgment, confidentiality and demonstrate a high degree of tact and discretion at all times when dealing with employees and sensitive situations.
  • Ability to work under pressure with speed and accuracy and establish priorities while maintaining a high customer service level.
  • Demonstrated customer-service orientation and high degree of diplomacy.
  • Ability to work in a team-oriented environment.
  • Excellent interpersonal and communication skills
  • Ability to quickly learn new systems.
  • Proficient computer skills using Microsoft Office: Word, Outlook, PowerPoint and Excel and ability to manipulate data and produce correspondence, reports and other documents.
  • Ability to translate Reports and Queries into common terms.
  • Understanding of payroll, an asset.
