Responsibilities

  • Recruitment & Talent Acquisition: manage full-cycle recruitment for Retail, DC, and Head Office, including seasonal and temporary hiring; create and maintain job descriptions; post openings; plan recruitment events; screen resumes and conduct initial phone screens; schedule interviews; administer assessments; coordinate background checks; communicate updates.
  • HRIS & HR Administration: maintain employee records in the HRIS; create profiles; manage HR supplies and onboarding materials; support HR reporting and inquiries.
  • New Hire Onboarding: coordinate onboarding from offer to first day; send welcome communications; ensure setup before start; issue onboarding items; conduct six‑week check-ins.
  • Offboarding & Exit Interviews: schedule and conduct exit interviews; document feedback; coordinate offboarding and asset returns; update records.
  • Health & Safety Support: assist health and safety program administration; track training; ensure mandatory trainings are completed; coordinate PPE as needed.
  • Employee Experience & Engagement: plan and coordinate events; manage schedules, RSVPs, vendors, and budgets; provide on-site event support.

About the Role

We’re looking for an organized, people-focused HR & Talent Acquisition Associate to support hiring and the employee experience across our Retail, Distribution Centre, and Head Office teams. You’ll manage full-cycle recruitment, from creating job descriptions to welcoming new hires and checking in with them after their first six weeks. You’ll also keep our HRIS accurate, support our health and safety program, and help plan the events that bring our team together.

Key Responsibilities
Recruitment & Talent Acquisition
  • Support full-cycle recruitment for Retail, Distribution Centre, and Head Office positions, including seasonal and temporary hiring.
  • Work with hiring managers to understand staffing needs, position requirements, and hiring timelines.
  • Create, update, and maintain accurate job descriptions.
  • Post and manage job openings across job boards, social media, and internal channels.
  • Plan, coordinate, and facilitate job fairs and recruitment events, including registration, booth setup, promotional materials, on-site candidate engagement, and follow-up with applicants.
  • Review and screen resumes and applications, conduct initial phone screens, and shortlist qualified candidates.
  • Coordinate and schedule interviews between candidates and hiring managers.
  • Administer aptitude, skills, and other pre-employment assessments as required.
  • Coordinate reference checks and background checks in accordance with company procedures.
  • Communicate with candidates throughout the process and provide timely updates.
  • Prepare employment documentation and coordinate pre-employment requirements.
HRIS & HR Administration
  • Maintain accurate employee, position, and recruitment records within the HRIS.
  • Create employee profiles and ensure required documentation is complete and properly filed.
  • Order and maintain inventory of HR supplies, uniforms, name tags, and onboarding materials, working with vendors to ensure items are available when needed.
  • Support HR reporting and administrative requirements.
  • Respond to general HR questions from employees and managers, and direct inquiries to the appropriate HR team member when needed.
  • Support HR projects and initiatives throughout the employee lifecycle.
New Hire Onboarding
  • Coordinate the onboarding process from offer acceptance through the first day.
  • Send new hire welcome communications outlining start date and time, location and reporting instructions, what to bring on the first day, required documentation, dress code and uniform requirements, and required Personal Protective Equipment (PPE), where applicable.
  • Work with relevant departments to ensure new hires are set up before their start date.
  • Issue and track uniforms, name tags, key fobs/access cards, and other onboarding items, and recover them when employees leave.
  • Organize and deliver new hire onboarding and orientation sessions.
  • Conduct check-ins approximately six weeks after start date to gather feedback, answer questions, and identify concerns, sharing relevant feedback with HR or management.
Offboarding & Exit Interviews
  • Schedule and conduct exit interviews with departing employees to understand their reasons for leaving and gather feedback on their experience.
  • Document exit interview feedback, identify trends in turnover, and share findings and recommendations with HR and management.
  • Coordinate the offboarding process, including the return of uniforms, name tags, key fobs/access cards, and other company property.
  • Update the HRIS and employee records to reflect departures accurately and on time.
Health & Safety Support
  • Support the administration of the health and safety program, including tracking required training and documentation.
  • Ensure new hires complete mandatory training, such as Worker Health & Safety Awareness and WHMIS, where applicable.
  • Coordinate PPE requirements for applicable positions and help employees understand workplace safety expectations.
  • Support the Joint Health & Safety Committee as needed.
  • Maintain health and safety records and elevate concerns to the appropriate HR or management team.
Employee Experience & Engagement
  • Plan and coordinate employee appreciation events, holiday parties, company events, and team engagement activities.
  • Create and manage event schedules and timelines, staff and volunteer assignments, and key deadlines.
  • Prepare and send invitations and event communications, and track attendance and RSVPs.
  • Manage event logistics, including venues, vendors, and budgets as assigned.
  • Provide on-site support at company events, including setup and coordination.
