Job Title

Facilities Supervisor

Job Description Summary

Reporting to the Facility Manager, the Facilities Supervisor is an operational management position within the CORE portfolio, responsible for overseeing and providing administrative, operational, and technical support to the Maintenance department. The CORE portfolio encompasses a 2 million square foot mixed-use office and retail complex. The primary task of the Facilities Supervisor is to oversee the site's cleanliness and physical appearance, including programs such as housekeeping, waste management (including recycling, organics, and refuse removal), landscape management, parkade management, and related administrative support. This role ensures that the real estate portfolio is managed and maintained safely, environmentally responsibly, and efficiently.

Job Responsibilities
  1. Management of Maintenance Department: Oversee the department's productivity and workmanship through KPIs measured via CMMS (Computerized Maintenance Management System). Manage preventive and unscheduled repairs of building components, plumbing, lighting, electrical, and housekeeping. Provide mentoring and coaching to maintain high standards.
  2. Waste Management Oversight: Manage recycling, organics, landfills, and waste stream programs. Arrange waste audits, record keeping, contract negotiations, and monitor waste management to ensure efficiency and environmental responsibility.
  3. Landscape Management: Oversee interior and exterior plant programs, conduct inspections, manage records, negotiate contracts, and coordinate seasonal plantings to operate efficiently and sustainably.
  4. Housekeeping Program: Manage housekeeping contractors, oversee contract negotiations, ensure compliance with contract terms, conduct inspections, and address issues promptly.
  5. Parkade Cleanliness: Oversee cleaning and maintenance of parkades, including power washing and litter removal.
  6. Budget Management: Prepare and implement fiscal budgets, forecast quarterly, review and approve invoices, and manage accruals.
  7. Contract Management: Oversee site service contracts, coordinate tenders, create scopes of work, and negotiate contracts.
  8. Additional Duties: Provide technical and administrative advice, stay updated on industry practices, and ensure compliance with regulations and safety standards.
Qualifications
  • At least 5 years of experience in a facility management role in a high-rise or mixed-use environment.
  • Possession of an FMA or equivalent property management certification.
  • Knowledge of health, safety, and environmental regulations.
  • Experience in budget management.
  • Proficiency in Microsoft Office and experience with CMMS systems like Angus Anywhere, MRI, or VTS Activate.
