Qualifications

  • 3+ years of administrative support experience in a busy corporate environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with OneDrive, SharePoint, MS Teams is desired.

About The Role

We are seeking a highly organized and proactive Administrative Assistant to support our Senior Director of Finance and Chief Information Officer (CIO). The role requires providing comprehensive administrative support with professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. Additional support will be provided to the Finance and IT teams in daily operations.

This position is onsite at our St. Thomas office 4 days per week, with flexibility based on business needs.

Key Responsibilities

  • Manage and maintain schedules, including appointments, meetings, travel arrangements, and expenses
  • Handle correspondence, company car/IT concerns, teleconference setup, translation requests, onboarding new team members, etc.
  • Coordinate and organize team meetings, prepare agendas, take minutes, and follow up on action items
  • Assist with budget preparation, expense reports, and financial documentation
  • Liaise with internal and external stakeholders on behalf of the Senior Director of Finance and CIO
  • Maintain and publish documents on SharePoint
  • Collaborate with other team members to ensure smooth departmental operations
  • Interface with all organizational levels within Canada and with HQ in Germany
  • Support other Executive and Administrative Assistants as needed
  • Perform additional duties as assigned

What You Bring To The Team

  • Post-secondary education in Business Administration, Finance, or a related field (preferred)
  • 3+ years of administrative support experience in a busy corporate environment
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Proven ability to multi-task, pay attention to detail, and handle ambiguity
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with OneDrive, SharePoint, MS Teams, Concur, and SAP (desired)
  • Strong relationship-building skills
  • Ability to work in a dynamic environment, adapt to last-minute changes professionally
  • Willingness to travel domestically and internationally occasionally
  • Flexibility for overtime and support across time zones as needed
