Salary : $50,000 – $55,000 annually + Commission

About Us :

EVS Canada Ltd. is a growing company that specializes in premium beverage services. As the exclusive Canadian partner for Nespresso Professional, nunshen tea, and Nayka water, we deliver exceptional service and value across multiple provinces. We are looking for an organized and detail-oriented Administrative Assistant to support our day-to-day office operations and assist with financial tasks.

Position Overview :

The Administrative Assistant will be key in keeping our operations running smoothly. While the core focus is on general administration and office support, including scheduling, internal communication, records management, and coordination tasks, we are looking for someone with experience in finance who can also contribute to financial processes such as invoicing, reconciliations, and reporting. Additionally, the position will temporarily support HR duties during a 15-month maternity leave.

The Role (Including but not limited to) :

Administrative Support

  • Coordinate internal scheduling, meetings, and office communications.
  • Order and manage office supplies; maintain the organization of the workspace.
  • Assist with filing systems, document preparation, and general correspondence.
  • Support facility and lease-related administration
  • Help manage insurance documents and workers’ compensation records.
  • Maintain confidentiality and organization of company records and documents.

Finance Support

  • Process accounts payable and accounts receivable.
  • Generate and track client invoices and payment status.
  • Handle deposits and occasional bank runs
  • Reconcile monthly credit card statements.
  • Assist with payroll administration and maintain accurate pay profile records.
  • Support financial reporting and coordinate with external accountants for audits.

HR Support

  • Assist with recruitment coordination : job postings, interview scheduling, and onboarding documentation.
  • Maintain employee records and support benefits administration.
  • Help with internal policy communication and employee file updates.
  • Support team-building activities and company events planning.

Qualifications :

  • Minimum 2 years in an administrative role with direct experience in both HR and finance responsibilities.
  • Highly organized with strong attention to detail.
  • Excellent communication and time-management skills.
  • Proficient in Microsoft Office (especially Excel and Outlook).
  • Experience with invoicing, payroll systems, or basic bookkeeping is an asset.
  • Discreet and dependable when handling sensitive information.
