Job description

We are seeking a Project Coordinator to join our growing Ecology and Environmental Impact Assessment Project Management team. As a Project Coordinator, you will be part of a fast-paced team, working closely with project and technical managers on exciting and innovative projects to deliver projects within budget and schedule. What you can expect to do here :

As part of the Ecology and Environmental Impact Assessment team, you will :

  • Participate in a team environment, working closely with Project Manager, other Project Coordinators, Project Directors, Technical Leads and Field Technicians / Scientists / Engineers.
  • Coordinate effectively with various stakeholders to get the most up-to-date and correct information.
  • Support Project HSE, which includes working with the Project Manager / client on field requirements, review of HSSE field documentation, attendance at pre- and post-field meetings, and field program coordination.
  • Support Project Managers by maintaining schedules and tracking ongoing commitments and deliverables to the client.
  • Control and monitor the progress of projects including scope, schedule, budget, and quality, and implement change as appropriate and required by the Project Manager.
  • Coordinate project team communications, written and verbal, including documenting client meetings, interactions, and activities.
  • Maintain project files, update project SharePoint sites, and verify that WSP quality control and review processes have been followed.
  • Assist with preparing and submitting change orders, proposals, progress reports, work plans, and any other deliverables for Project Manager’s review.
  • Interface with the accounting team to ensure compliance with client invoicing requirements, review and prepare invoices, and assist with facilitating timely payment of invoices.
  • Liaise with subcontractors and suppliers and help with preparing subcontractor purchase orders and invoicing.
  • Coordinate logistical requirements for the project team such as travel and mobilization.

What you’ll bring to WSP :

  • College diploma or University degree in a business or accounting related field would be considered an asset.
  • Working toward, or have, a Project Management Professional (PMP) or a Certified Associate in Project Management (CAPM) certification.
  • 3-5 years of relevant experience.
  • Solid understanding of Microsoft 365 tools (Word, Excel, Project, Adobe, and SharePoint).
  • Experience with Oracle would be an asset.
  • Excellent communication skills, willingness to learn in a high-paced consulting environment, ability to solve problems without a lot of oversight, ability to work well with others in a team, and maintain strong working relationships.
  • Sound understanding of the need for health and safety procedures in the workplace. Possess a safety-conscious attitude.
  • Exceptional organizational skills and attention to detail, and ability to learn processes quickly.
  • A proven ability to complete projects / tasks on time with a high degree of accuracy and quality and work well under pressure in a rapidly changing environment.
