Job Summary

We are seeking an experienced and detail-oriented Project Manager to join our dynamic team in the medical communications sector. In this role, you will own custom, strategic programs and oversee project management processes, ensuring seamless execution of client deliverables, effective communication among team members, and adherence to timelines. If you possess strong organizational skills and are passionate about delivering high-quality communications, we encourage you to apply.

Key Responsibilities

Timeline Development :

  • Join all project initiation calls to collect project scope, goals, and objectives to inform your project plan.
  • Construct custom workflows and manage timelines at project initiation, securing team approval on deadlines.
  • Build out action cards in Hive, maintaining project board hygiene and ensuring statuses are up to date.

Task Monitoring :

  • Proactively communicate any delays or shifts in deliverables to relevant stakeholders.
  • Adjust sub-actions as needed and ensure daily progression of tasks, moving them along and checking them off regularly.
  • Review project boards and weekly actions to prioritize the team’s workload and communicate urgent tasks promptly.
  • Review assets against client feedback and ensure all applicable parties have a structured process for review prior to client submission.
  • Ensure that all client comments have been incorporated into project materials, maintaining a clean, clear, and accurate final product.
  • Prepare and maintain asset folders by clearly labeling actions, documents, and folders for easy navigation.
  • Ensure all project folders are organized, with only active files visible. Archive all outdated materials.

Internal Communications :

  • Send materials to shared services via various platforms and systems, adhering to established standard operating procedures.
  • Share meeting recap notes following project calls, documenting next steps and action items for accountability.
  • Lead internal communication and calls regarding project updates, status, and priority. Prepare agendas and status notes for meetings.
  • Schedule and facilitate check-in and review calls as needed.

Client Management :

  • Draft meeting agendas and recaps for client meetings while maintaining up-to-date status sheets and workbooks as needed.
  • Track agenda topics for final review.
  • Document and distribute client feedback to the appropriate team members and project cards.

External Coordination :

  • Act as the primary contact for KOL initiation, contracting, scheduling, and content management, overseeing all communication and document collection.
  • Clearly communicate actions needed and deadlines to shared services / vendors, requesting form submissions and detailing directions, timelines, and assets.

Qualifications

  • Bachelor’s degree in project management, communications, or a related field.
  • Proven experience in project management, preferably within the medical communications field.
  • Strong organizational and multitasking abilities, with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in project management software (e.g., Hive) and collaboration tools (e.g., SharePoint, HubSpot, ZenDesk).
  • Ability to work independently as well as collaboratively in a team environment.
